Overview
The Motorsports Operations Supervisor is responsible for supporting day to day at track operations for the GMR Motorsports Safety Team. This role assists with schedule execution, logistics coordination, personnel oversight, and operational readiness to ensure consistent, high quality motorsports medical and safety operations. The Supervisor works closely with the Sr. Manager, team leadership, and racing series officials to ensure seamless event execution, adherence to safety and customer service standards, and timely reporting and documentation.
Essential Duties and Responsibilities
* Supports the recruitment, orientation, scheduling, and deployment of motorsports team members to meet program staffing needs.
* Collaborate with public and private emergency service partners to ensure coordinated response efforts.
* Build and maintain positive relationships with customers, venues, agencies, partners, and medical community stakeholders.
* Assists with the preparation, organization, and distribution of motorsports equipment and supplies, including coordination of maintenance and readiness checks.
* Collaborates with medical directors, safety team members, and leadership on equipment setup and operational needs.
* Supports development of event staffing schedules and monitors revisions, ensuring accuracy and coverage.
* Confirms staffing, logistics, and contingency plans for upcoming events in accordance with required timelines.
* Supports operational readiness of motorsports motorcoach functions, including set up, breakdown, driver support, and resource logistics.
* Ensures timely delivery of event coordination communications to team members and racing series officials.
* Coordinates lodging arrangements and assists with travel planning for assigned personnel.
* Ensures safety team members arrive on site and at hotels as scheduled, properly prepared and equipped.
* Ensures consistent compliance with all at track report times, assignments, and safety team expectations.
* Assists with VIP, guest, and leadership hospitality needs as requested.
* Confirms completion and submission of all required internal and series mandated documentation following on track activities.
* Participates in after action reviews and provides operational updates to team leadership and the medical director.
* Supports motorsports operations through on site presence, travel, and remote coordination as assigned, including weekends and non business hours.
* Submits expense documentation in accordance with policy and timelines.
* Adheres to all company policies and procedures.
* Works closely with the Special Events Operations Manager to support operations at Indianapolis Motor Speedway and the Indianapolis Metro Area, including on-site event administrative and supervisory support and planning. Will ensure motor coach is onsite for all major events, as requested.
Minimum Qualifications
Education / Licensing / Certification
* High school diploma or GED required
* Associate degree preferred
* Current EMT or Paramedic certification (state appropriate) preferred
* Valid driver's license required
* CPR certification (AHA
Experience
* 3+ years of operational leadership experience
* Experience in EMS, motorsport, public safety, or event operations strongly preferred
Knowledge and Skills
* Strong communication, interpersonal, and team leadership skills
* Ability to work collaboratively with internal teams, leadership, vendors, and racing series officials
* Strong organizational skills with the ability to manage multiple tasks in fast paced environments
* Knowledge of EMS operations, safety practices, and emergency response procedures
* Ability to analyze operational needs and support effective solutions

* Proficiency in preparing reports, correspondence, and operational documentation

* Ability to adapt quickly, manage changing priorities, and support emergent operational demands
