Job Description:

Essential Job Functions

1. Produce Regional Office Documents

  • Create, edit, format, and update project documents from team member drafts and input.

  • Copy, collate, and bind project documents and reports following Christman templates and standards. Arrange for outside reproduction services when necessary.

  • Craft business letters for review and approval by project team members.

  • Proofread final products to verify professional impact including correct spelling, punctuation, and grammar.

  • Maintain and update all vehicle registration, titles, and insurance.

2. Manage Regional Office Communication

  • Receive, review, and forward vendor invoices and payments.

  • Assist team members with specific needs as required on a project-by-project basis.

  • Arrange all office events/parties throughout the year.

3. Manage Postal Deliveries

  • Receive, screen, and distribute incoming correspondence.

  • Coordinate mail exchange with local Christman regional and/or project office.

  • Prepare and send outgoing mail and parcels.

4. Greet Callers and Visitors

  • Answer telephone calls and assist callers or route to appropriate team members.

  • Greet visitors and provide assistance or direct to appropriate team members.

  • Be a friendly face and voice to portray the image in which the company takes pride.

5. Coordinate Conferences and Technology

  • Schedule meetings and conference calls.

  • Schedule conference rooms for meetings.

  • Arrange/set up needed technology meetings.

  • Order lunch as necessary.

6. Manage Administrative Inventory

  • Maintains administrative and general office supplies and equipment for regional office.

  • Ensures office is stocked with safety supplies.

  • Responsible for petty cash handling and balancing.

7. Other Duties

  • Coordinate regional onboarding activities for new hires.

  • Coordinate travel and hotel accommodations for leadership team.

  • Administer employee badging for federal projects.

  • Register and keep calendar for leadership team for regional and local events.

  • Organize and send safety equipment to project sites.

  • May submit payroll information for regional employees.

  • Update and maintain job lists.

Work Environment
The job will be conducted in a temperature controlled professional office environment, with moderate noise. The role will routinely use standard office equipment such as computers, phones, photocopiers, and scanners.

Physical Demands
While performing the duties of this job the employee is regularly required to talk, listen sit, walk, reach, kneel, stoop, crouch, use hands and fingers to handle or feel and to operate a computer and telephone keyboard, and maintain visual acuity. The employee may occasionally be required to lift and or carry lightweight under 20 pounds.

Expected Hours of Work
Full time position. Extended hours and weekends may apply.

Travel
Minimal travel required, depending on the project, travel to other areas may be required. Majority of travel done during work hours, overnight stays may be required.

Required Education and Experience
1. Associate's Degree in Business Administration or related field.
2. Minimum two (2) year's of general administrative/office experience.
3. Equivalent combination of the above education, training, and experience.

Preferred Education and Experience
1. Previous construction administration experience.

Additional Eligibility Qualifications
1. Proficient in Microsoft 365, specifically in Word, Excel, Power Point, and Outlook.
2. Strong verbal and written communication skills.
3. Detail orientated, strong organizational skills and the ability to maintain confidentiality.
4. Strong interpersonal skills with an ability to maintain a high level of customer service.
5. Must work creatively, independently, and collaboratively as a team member and be able to multi-task and prioritize projects.
6. Excellent customer relation skills with the ability to communicate effectively with internal and external customers in a professional manner.
