This role supports the coordination and execution of program logistics, reporting, and attendee management for client events. You'll work closely with Meeting & Event Managers (MEMs) to ensure accuracy, organization, and smooth delivery of all program components. This position is ideal for someone who is detailoriented, highly organized, and enjoys working behind the scenes to keep complex programs running seamlessly.

Role Duration:

  • Start Date:May 18th, 2026

  • End Date on or Around:July 15th, 2026

What You'll Be Doing

  • Meet deadlines set by MEMs and clients while managing hotel blocks, inventory, and program documentation.

  • Create and manage reporting timelines, review program detail reports, and deliver custom reports as needed.

  • Develop custom program materials such as signin sheets, and mailmerge documents.

  • Coordinate project mailings, produce name badges and labels, and ship event materials.

  • Maintain accurate records, data entry, and file management while supporting interdepartmental process improvements.

What You'll Bring

  • Bachelor's degree or 2 years of equivalent business experience (hospitality degree a plus).

  • 6-12 months of event coordination or related experience.

  • Strong organizational skills with the ability to manage multiple demands.

  • Excellent computer skills, including Microsoft Office and the ability to learn new technology quickly.

  • Ability to analyze and manipulate data to create custom reports.

  • Strong interpersonal communication and customer service skills.

  • Ability to lift up to 25 pounds.

Nice to Have

  • Experience working with event management systems or registration platforms.

  • Prior experience supporting largescale meetings or incentive programs.

  • Familiarity with hotel blocks, BEOs, or program logistics.

Working Logistics & Things You Should Know

  • This is an in-office role.

  • The role operates on CST hours.
