Senior Administrative Assistant (Grant Funded) - North Campus

FUNCTION: The Senior Administrative Assistant provides comprehensive administrative support for the San Jacinto College GEAR UP: Galena Park ISD Student Success project, a seven-year federally funded initiative. This position serves as the first point of contact for the GEAR UP office, manages day-to-day administrative operations, and assists with internal reporting, scheduling, and coordination of activities to ensure compliance with institutional and federal guidelines.

Essential Job Functions:



  • Serve as the initial point of contact for visitors, students, and partners; manage front office operations.
  • Provide administrative support to the Project Director and GEAR UP staff, including scheduling meetings, preparing agendas, and maintaining calendars.
  • Assist in preparing internal reports and compiling data for quarterly and annual grant reporting.
  • Maintain organized filing systems for grant documentation, student records, and compliance materials.
  • Coordinate logistics for workshops, campus visits, and parent engagement events, including room reservations and materials preparation.
  • Process purchase orders, track supply inventory, and assist with budget documentation as directed by the Project Director.
  • Support communication efforts by drafting correspondence, updating social media posts, and assisting with bilingual outreach materials (English/Spanish preferred).
  • Provide assistance with travel arrangements for staff attending GEAR UP conferences and events.
  • Perform other duties as assigned to support project goals and compliance requirements.

Knowledge, Skills and Abilities:



  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite and ability to learn college systems.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Customer service orientation and ability to work with various populations.
  • Detail-oriented with ability to meet deadlines in a fast-paced environment.


Required Education:



  • High school diploma or equivalent.


Preferred Education:



  • Associate degree preferred.


Required Experience:



  • Three years of office, clerical or administration support experience; or an equivalent combination of education and experience to successfully perform the essential duties of the job.


Preferred Experience:


  • One or more years in a higher education environment
  • Bilingual

Grant-funded positions are contingent on the continuation and the availability of grant funds.

Salary Grade: 106

Salary is based on the Board-approved salary schedule for the current fiscal year. See Salary Schedule
