Program Operations Coordinator - JLL

What this job involves -The Program Operations Coordinator serves as a central resource for operational excellence, managing diverse initiatives that support organizational efficiency and effectiveness. This role combines project coordination, vendor relations, process improvement, and training facilitation to ensure seamless program delivery across multiple business functions. Providing comprehensive program operations support including continuous monitoring of multiple initiatives and facility operations. Work with facility management teams and cross-functional stakeholders to coordinate program delivery, vendor management, and process optimization while ensuring seamless execution of diverse organizational initiatives.

What your day-to-day will look like:

Program Coordination & Project Management

  • Coordinate multiple concurrent programs and ad-hoc projects from initiation through completion.

  • Develop project timelines, track deliverables, and ensure stakeholder alignment.

  • Manage cross-functional initiatives and provide regular status updates to leadership.

Vendor Management

  • Oversee vendor relationships including contract coordination, performance monitoring, and issue resolution.

  • Serve as primary liaison between internal teams and external service providers.

  • Evaluate vendor performance and recommend process improvements for procurement activities.

Process Documentation & Standard Operating Procedures

  • Develop, maintain, and update standard operating procedures (SOPs) to ensure consistent operational practices.

  • Document workflows, create process maps, and implement quality control measures.

  • Support continuous improvement initiatives through process analysis and optimization.

Training Coordination

  • Plan and coordinate training programs for various organizational initiatives.

  • Schedule training sessions, manage logistics, track completion rates, and maintain training documentation.

  • Collaborate with subject matter experts to ensure content accuracy and relevance.

Presentations & Communication

  • Prepare and deliver presentations to various stakeholder groups including management, project teams, and external partners.

  • Create visual reports, executive summaries, and operational dashboards.

  • Facilitate meetings and maintain effective communication channels across all program activities.

Required Qualifications:

  • Bachelor's degree in Business Administration, Operations Management, or related field.

  • 2-3 years of experience in project coordination, operations, or program management.

  • Strong organizational skills with demonstrated ability to manage multiple priorities simultaneously.

  • Excellent written and verbal communication skills with presentation experience.

  • Proficiency in Microsoft Office Suite and project management tools.

Preferred Qualifications:

  • Project Management Professional (PMP) certification or equivalent project management credentials

  • Experience working in commercial real estate, professional services, or similar client-focused industries

  • Advanced proficiency in data analysis tools such as Tableau, Power BI, or similar platforms

  • Experience with change management principles and stakeholder engagement strategies

  • Knowledge of budget management and financial tracking for programs or projects

  • Previous experience supporting global or multi-regional initiatives and remote team coordination
