Description

Kilpatrick Townsend, a large international law firm, is seeking a New Business Intake Analyst for our Finance Department in our Atlanta, Dallas or Chicago office with the opportunity for a hybrid schedule. This position will be part of our team of attorneys, paralegals and support staff providing a high level of service to both internal and external clients. This position is responsible for processing the new business intake of clients/matters. The NBI Analyst performs batch checks to ensure receipt of all necessary documentation and makes sure that any special needs of the client have been met. Responsible for corresponding daily with secretaries to request needed documentation for client/matter openings. Assigns client/matter numbers and performs Risk Management review to ensure client/matters adhere to all firm policies. Performs daily changes to client matter numbers in 3E, based on email requests from internal clients and firm policies, requesting any necessary approvals and ensuring compliance to firm policies.

ESSENTIAL JOB FUNCTIONS:



  • Perform Initial and Final Intake reviews with the Client/matter intake software - Intapp:


    • Confirm special requirements are adhered to for all special needs clients on "Client's with Special Requirements listing."
    • Ensure conflicts searches have been completed and cleared for all new related parties and ensure proper notification if future linking is needed.
    • Ensure all necessary documentation is attached, and consult with Department Operating Officers, General Counsel, and Conflicts and Collections, as needed for all approval requirements.
    • Redline engagement letters for review.
    • Handle any revisions to form, additional comments for approvers and request additional users for email notifications based on matter type criteria.
    • Assign client/matter numbers in 3E.
    • Perform quality control in 3E to ensure proper credit and setup.



  • Perform client/matter changes in 3E:


    • Updates to existing client/matter details
    • Schedule SQL updates Biztalk 3E change requests outside normal scope and bulk matters >300.
    • Correspond with necessary departments, Department Operating Officers, Team Leaders, and Billing Mgmt. to ensure necessary approvals and changes are adhering to all Firm policies.
    • Respond to internal inquires for client/matter status, Intapp issues and assist with proper training and resolution.
    • Assist Manager/Team with bulk change requests and data base clean-ups, as needed.



  • Assist with new hire setups and assist with processing departed attorney listings to schedule closures and reassignments.
  • Assist with creating documentation in the DMS for new client/matter PDF's, engagement & waiver letters, and any Outside Counsel Guidelines.
  • Handle incoming call inquiries to individual and NBI Helpline and customer "drop-in" assistance regarding Intapp and NBI questions.


KNOWLEDGE/SKILLS REQUIRED:



  • 4-year degree or equivalent experience
  • Typing 50+ wpm.
  • Strong computer and database skills (3E, Excel and Word experience preferred).
  • Strong oral and written communication skills.
  • Ability to work productively with firm personnel at all levels.
  • Ability to work under pressure, manage multiple priorities, and work within tight deadlines.
  • Strong attention to detail.
  • Ability to work independently and productively in Team environment.


EXPERIENCE:

REQUIRED



  • Minimum of 2 years' related work experience.


PREFERRED



  • Minimum of 2 years' experience in law firm environment.


OTHER ESSENTIAL JOB REQUIREMENTS:

Availability



  • Current flexibility with Telework options and able to connect from home. Current schedule requires the ability to occasionally work from 11:30 a.m. until 8:00 p.m. shift to accommodate firm needs. Able to work before or after standard work hours as necessary to meet job demands and firm needs.


This is a full-time, regular position with a multi-faceted health benefit package including medical, dental, and vision. The firm also offer life insurance, short term disability plans and retirement plans in addition to holidays and paid time off. The firm offers hybrid work schedules combining in-office workdays as well as remote workdays. The pay range for this position $25.33 - $38.05 per hour.
