  • Software: Expert-level proficiency in ADP is preferred.
  • Adaptability:Ability to operate as a "department of one," maintaining direct communication lines with the CEO and Treasurer.


Required



  • Post-secondary education in a related field or equivalent professional experience.
  • Proven experience managing HR administration, payroll systems, or people operations processes.
  • Ability to work in an office environment with occasional exposure to a warehouse setting.
  • Flexibility to travel as required by the business.


Preferred



  • 2-5 years of experience in finance, accounting, or a related corporate administrative field.
  • Deep familiarity with modern HR practices, labor laws, and office management principles.
  • Previous experience managing HR relations for multi-site or international operations (Canada/Mexico).

Essential Duties and Responsibilities include but are not limited to:

Payroll Administration



  • Execute bi-monthly payroll via ADP, ensuring a smooth transition following a recent system migration.
  • Provide HR and Administrative support for a multi-national workforce of 70+ employees across the US, Canada, and Mexico.


People Operations & HR Administration



  • Address employee inquiries and concerns, mediate conflicts, and champion a positive, collaborative work culture.
  • Assist in the implementation of employee engagement and retention strategies to maintain a high-performing workforce.
  • Execute payroll processing, maintain meticulous employee records, and ensure total compliance with labor laws and company protocols.
  • Partner with external vendors to facilitate employee benefit programs, including enrollment support, billing reconciliation, and 401(k) contribution coordination.
  • Lead the recruitment lifecycle, managing job postings, conducting reference checks, and facilitating a seamless onboarding and orientation experience for new hires.
  • Facilitate the annual performance review process and support periodic updates to the Employee Handbook.
  • Manage office records, insurance policies, licenses, and databases, ensuring the absolute confidentiality and security of sensitive information.
  • Oversee facility upkeep, equipment maintenance, and office supply procurement to ensure peak operational efficiency.


Top Management Support



  • Serve as the primary point of contact for external audits, ensuring all deliverables are completed accurately and on schedule.
  • Assist leadership in the formulation and implementation of internal controls and corporate policies.
  • Provide comprehensive support for compliance initiatives and internal audit processes.
  • Perform specialized tasks and projects as assigned by the executive leadership team.
