TheResearch Administrator IV (RA) will supporta team of faculty and personnel in the Clinical Research Division by providing support in grants and translational research, financial management, and general day-to-day operations of the program faculty.The financial portfolio is comprised of various sources of NIH, foundation, professional society, internal pilot, subawards, and institutional support and includes regulated activities. The position will work under the direction of the Program Operations Director and will act independently in performing daily responsibilities, partnering with program faculty and interfacing with other departments as needed to provide research administration. This role should plan to work in a hybrid fashion; spending at least 1 day per week on the South Lake Union campus.
Responsibilities
Administrative Support
Complete or delegate key administrative tasks such as editing CV and NIH Biosketch (including tracking faculty funding sources, publications), assisting with preparation of Academic Review & Promotion portfolio materials
- Perform Human Resources activities, such as on/off boarding, staff recruitment plans, and coordination of annual performance evaluations
- Assist with requesting and setting up functional access (i.e. affiliation status), CDAs or MTAs for external collaborators
- Manage monthly time and effort reporting for the group of faculty you support
- Manage and track conflict of interest prior approvals, annual reporting, and conflict management plans
- For non-clinical trials (e.g. external collaborations or advisory activities), assist with tracking of CDAs, MTAs and DTAs through UW or FH compliance
- Assist with manuscript preparation for submission
- Coach and develop lower-level staff
- Participate in IACUC, and MUA/DUA applications and renewals, as appropriate
Funding Source Administration
- Work closely with assigned faculty to provide overall Research Administration support, based upon the faculty's area of research interest and goals. Note: For faculty within disease programs whose clinical trial portfolios are managed, or will be managed, by the Clinical Research Support (CRS) team, this work will be performed in collaboration with CRS as per below.
- Lead and provide strategic guidance on applicable grant and award submissions by conducting tasks such as:
- Creation and communication of timelines to appropriate stakeholders
- Completion of all technical/non-scientific steps and assigned technical or scientific portions of submissions
- Work with faculty to develop strategies for responses/requests
- Review budgets, identify discrepancies and provide recommendations to the PI on scenarios to resolve issues with appropriate stakeholders
- Prepare annual progress reports, oversee activation, management, and oversight
- Monitor assigned project budgets within the Division, ensuring that all financial allocations and expenditures are in accordance with project guidelines & regulations as well as institutional policies. Manage non-sponsored budgets, such as discretionary accounts and gift funds
- Prepare monthly budget summaries and reports for PIs that include, as applicable, faculty member's discretionary and gift accounts, startup funds, donor funds, and Division-managed research funds. Report and project faculty salary support from applicable sponsored research projects that are managed within the Division and external to the Division, ensuring alignment with budgeted salary and effort.
Fiscal Support
- Build and oversee budget and projections for finances of the faculty in assigned portfolio
- Build and oversee annual time and effort planning and reconciliation for faculty and where appropriate, Division research and support staff in assigned portfolio
- Serve as purchasing liaison placing and approving orders for supplies and equipment. Create and maintain standing orders for a variety of vendors
- Perform ProCard reconciliation, approval and expense reimbursements
- Submit work orders for equipment repairs; procure and schedule outside maintenance when needed.
Team Participation
- This position is expected to be a team player; participating in team activities, provide coverage for team members when they are out of office, and general collaboration in support of the Fred Hutch mission, is expected of individuals who work in the Fred Hutch Clinical Research Division.
Qualifications
MINIMUM QUALIFICATIONS:
- A Bachelor's Degree or 4 years relevant experience.
- Minimum of three years experience managing federal and/or non-federal sponsored research.
- Experience creating and executing strategic plans
- The ability to delegate tasks to appropriate resources
- Multi-project grant experience with a wide variety of funding sources
- The ability to analyze and interpret regulations, determine impact, and manage change
PREFERRED QUALIFICATIONS:
- Three years as a research administrator preferably with principal investigators/academics
- Five years of relevant experience
- Prior supervisory experience
A cover letter is required upon application that describes your interest in the position and any relevant experience. The annual base salary range for this position is from $93,163 to $139,714, and pay offered will be based on experience and qualifications.
