Position Summary:

We have an exciting opportunity to join our team as a Senior Grants Manager.

Reporting to the Director for Research, the Senior Grants Manager manages the pre-and post-award of grants and contracts for assigned departments within the Research Admin POD #2. The Sr. GM will be responsible for accurate grant and budget submissions, reporting, and ensuring compliance. The Sr. GM will serve as a principal source of information on grant policies and procedures including federal funding regulations and advises faculty.

Job Responsibilities:

Responsible for pre- and post-award management; manages portfolios which include basic and clinical research projects from Federal and non- Federal funding sources, program projects, philanthropic gifts, and various sub-agreements. Prepares budgets for grant and contract proposals, renewals, and periodic reports in accordance with sponsor policies and trends. Provides regular monitoring of grants and contracts for Principal Investigators and ensures that policies and guidelines are in place to manage research activities. Oversees 1-3 grants specialists, or similar, to manage pre-award and non-financial post-award volume; navigating all aspects of the submission process for grant applications, progress reports, Just-In-Time requests (JIT), and requests for prior approval.

Manages the full life cycle of grants (grant preparation, submission, and fiscal grant management)

  • Works with investigators to establish clear individualized grant submission plans utilizing the SRO toolkit (as applicable) and follow up pro-actively regarding planned submissions. Ensures regular grant meetings are held with investigators to discuss research progress, finance, and other issues.
  • Ensures timely submission of well-researched, well-written, and well-documented grant proposals.
  • Works with investigators to manage budgeting process for grants and contracts and assists in general budget development and implementation.
  • Synthesize all sponsor and institutional policies for PI.
  • Coordinates electronic submission of grants.
  • Functions as a liaison between the faculty (Principal Investigators and Scientists) and other NYU internal administrative offices and external funding agencies.
  • Creates standard templates, operating processes and forms to achieve maximum efficiency across the grant life cycle and implement across all departments/institutes.
  • Coordinates and communicates effectively with the Financial Analyst to ensure accurate and timely payment of grants and program related contracts, consistent reporting of financial data between the teams and resolution of grant deficits.
  • Works closely with other grant support offices such as SPA, CRSU, TOV, and NYUSOM Finance.
  • Ensures compliance with Federal Regulations, IRB, IBC, and IACUC.
  • Ensures compliance with NYU policies and procedures related to grants management.
  • Maintains, tracks, and updates effort reporting to ensure compliance with time and effort policies.
  • Mentors and trains new/junior staff on both grant procedures and grants management software.
  • Tracks grant funding for personnel management and reviews MSS transactions.
  • Reviews OTPS expenditures.
  • Participates in monthly Departmental Actionable Data Query meetings, providing portfolio status and updates.

Personnel Management:

  • Collaborates with other ISU and SRO teams on developing educational and training materials.
  • Trains and mentors new employees (grants specialists and grants managers) by providing guidance, support, and training necessary to ensure staff succeed in performing their job.
  • Provides constructive input and take action to correct performance as needed.
  • Oversees the interaction of new employees (grants specialist and grants managers) and financial analysts to ensure collaboration.
  • Provides regular updates and evaluations of new employees.
  • Functions as a resource for new employees and troubleshoots challenges that may arise.

Additional Position Specific Responsibilities:

Demonstrating a broad and in-depth knowledge of intramural and extramural government regulations, policies and procedures to support faculty and inquiries relating to pre- and post-award policies and practices.
Serving as principal source of information on complex grant policies and procedures including federal funding regulations and advises faculty and staff on existing options or alternatives.
Other duties as assigned.

Minimum Qualifications:

To qualify you must have a

  • A bachelors degree and three years grants administration or other relevant professional experience required.
    Impeccable attention to detail. Effective oral, written, verbal, organizational and creative problem-solving skills.
    Autonomous self-starter with the ability to exercise independent judgment. Proficient in Microsoft Office applications including Word and Excel.

Preferred Qualifications:


  • A masters degree and five years grants administration or other relevant experience, a Certified Research Administrator certificate or other professional relevant certification, proficiency with electronic grant submission systems, and sponsor electronic research administration (eRA) systems are preferred.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $101,493.51 - $133,005.60 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
