DESCRIPTION

Academic Affairs is the largest of the Vice Chancellor areas at UC San Diego. Led by the Executive Vice Chancellor (EVC), it comprises seven academic divisions and schools, eight (8) undergraduate colleges, the University Libraries and the Division of Extended Studies. The Vice Chancellor area also includes academic support units, as well as the units under the purview of the Vice Chancellor Student Affairs and Vice Chancellor for Organizational Transformation. The Office of the EVC is responsible for policy and procedure communication and implementation, resource administration, training and guidance, and program development for administrators, faculty, and staff within the EVC areas.

Under the direction of the Director of Student Services and Community Engagement, the Academic Advisor serves as an experienced professional academic advisor for the UC San Diego program in Chula Vista. Provides online and in-person academic advising individually and in groups on degree requirements, University policies and procedures, and academic opportunities. Helps and guides students to develop academic plans that align with their personal and professional goals. Assists in the evaluation of transfer coursework for admission consideration. Determines applicability of transfer coursework to fulfill academic requirements. Provides enrollment advising and transition support for incoming students. Monitors students' records to ensure academic progress and compliance with requirements and policies. Makes decisions on requests for exceptions to academic requirements and regulations. Counsels students experiencing academic difficulty and discusses options and alternatives. Provides referrals to campus resources and services as appropriate. Develops and delivers advising related programs and services to meet the needs of targeted populations. Serves on University committees. Acts as liaison to academic departments, Colleges, and campus-wide student support offices; interacts with faculty, families, and the general public.

  • This position involves shared office space in Southwestern College's University Center. Must be available for occasional evening and weekend work (i.e., Orientation, Commencement, family events, and other sponsored events). A hybrid work schedule is available, but flexibility is crucial.

QUALIFICATIONS
  • Thorough knowledge and experience in academic advising and counseling techniques. Knowledge of multiple majors, colleges, and schools. Thorough knowledge of counseling and advising techniques, including active listening, interviewing, and referral, and a thorough understanding of their appropriate use in an institutional setting and with a demonstrated knowledge of theories and principles of institutions of higher education.

  • Thorough knowledge of college / school policies, procedures, and requirements. Demonstrated ability to independently analyze, interpret, apply and explain a variety of broadly defined college, departmental and campus academic policies and procedures including course articulation. Willingness and ability to meet University and department standards for attendance and embrace and follow the UCSD Principles of Community.

  • Demonstrated experience in program development/event planning, implementation and assessment intended to meet the needs of target populations; with the additional ability to organize and conduct meetings, panel discussions, programs and workshops. Demonstrated ability to work under pressure, organize and prioritize with frequent interruptions while performing multi-level tasks. Ability to multi-task.

  • Excellent personal and interpersonal skills with the demonstrated ability to communicate in a professional manner, meaningfully and effectively, both in written and oral form, to students, faculty, staff, and families. Demonstrated skill in working independently and exercising sound judgment, tact, cultural sensitivity, and diplomacy in dealing with a diverse population.

  • Skills in judgment and decision-making, problem-solving. Excellent skills in evaluating academic data and academic records and making analytical decisions to determine course of action within established policies and guidelines as appropriate.

  • Abilities in problem identification, reasoning, and the ability to develop original ideas to solve problems. Demonstrated skills in identifying needs, concerns and problems of groups and individuals and taking immediate and appropriate action to provide support and guidance. Demonstrated ability to identify issues and information requiring confidentiality along with related University policies, and the ability to maintain that confidentiality.

  • Demonstrated ability to effectively work as a team member integrating functions with those of other staff members.

  • Demonstrated skill in using standard office computer technology for word processing, email and student tracking and monitoring systems (including MS office applications, internet technology and web based systems); willingness and ability to update and maintain those skills as required.

  • Demonstrated ability to provide effective training and work direction to new staff members and student staff.

PREFERRED:

  • Knowledge and experience in working with community college students.

  • Advanced knowledge and experience working with a diverse population. Knowledge and experience in working with first-generation college students
