The Retail Administrator supports retail vehicle operations by managing administrative processes, documentation, system updates, and communication between internal teams and clients. This role is critical to ensuring retail units move efficiently through recon, approval, and completion while maintaining accuracy, compliance, and organization.

  • Manage and update vehicle statuses in retail and recon systems (e.g., RPP)
  • Accurately enter, track, and maintain retail vehicle data, including approvals, completion, and delivery-ready status
  • Coordinate and manage vehicle documentation such as license plates, insurance cards, gate passes, registration stickers, and related paperwork
  • Ensure vehicles are properly stocked into retail systems upon purchase notification
  • Communicate with internal teams (inspectors, estimators, mechanics, lot operations) to support retail timelines and priorities
  • Serve as a point of contact for retail clients regarding status updates, documentation, and process clarification
  • Track units pending approval and follow up as needed to prevent delays
  • Assist with onboarding new retail accounts and communicating workflow requirements to the team
  • Maintain organized records to support audits, compliance, and reporting
  • Support leadership with reports, tracking logs, and administrative follow-ups
  • Identify process gaps and opportunities for workflow improvement


Qualifications:

Minimum

  • High School Diploma/GED and 3 years' experience in a related field.
  • OR the right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline;
  • OR 5 years' experience in a related field


Preferred

  • 3 years of Auction experience or 2 - 4 years of dealership experience is strongly preferred. Previous experience in sales support role desired.
  • Effective communication (written and verbal) and interpersonal skills are required.
  • Ability to work in a high-performance, fast-paced team environment.
  • Solid computer skills, including the ability to use Internet and MS Office effectively.
  • Ability to adapt to and work effectively within a constantly changing environment.
  • Excellent customer service and problem-solving skills are required.
  • Ability to sit or stand for prolonged periods of time.
  • Ability to perform repetitive tasks, and manual dexterity.
  • Vision abilities required include close, distance, and depth perception.


Work Environment:

  • Constant exposure to outdoor weather conditions. Moderate noise level. 85% outdoors / 15% indoors (admin duties)


USD 16.59 - 24.86 per hour

Compensation:

Hourly base pay rate is $16.59 - $24.86/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Benefits:

Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
