What this job involves:

This position provides supervision and coordination of high-level special events and meetings for Amazon client in high-profile facilities hosting frequent, high-visibility events while managing event team members and managing functional supervision of event support staff including set-up crews and third-party vendors. You will coordinate and execute sophisticated events in specialty spaces while establishing process and procedures that define event support in high-profile areas. This role contributes to JLL's business objectives by delivering exceptional event experiences that enhance client satisfaction, support business operations, and maintain JLL's reputation for excellence in corporate real estate services through seamless event management and team leadership while managing end-to-end support for meetings and events including intake, logistics coordination, customer communication, and onsite execution in dynamic, high-profile, high-visibility environment.

What your day-to-day will look like:

  • Manage end-to-end support for meetings and events including intake, logistics coordination, customer communication, and onsite execution in dynamic, high-profile, high-visibility environment
  • Process event requests through Meetings & Events Portal while disseminating information to large audiences including alerting building occupants and vendors of event-related impacts
  • Coordinate and lead planning and walkthrough meetings with Amazon Event Organizers and Service Delivery partners as needed
  • Support booking and utilization of specialty event spaces and training rooms while assisting with non-standard space routing and required approvals
  • Serve as primary coordination point across multiple internal stakeholders and business partners including Facility Management, IFM Programs, Onsite AV, Amazon Security, Reception and Business Service Center
  • Provide day-to-day supervision of events team members while overseeing and coordinating with event support staff and third-party vendors for comprehensive program support
  • Respond to Amazon Event Organizer inquiries/feedback while providing consultative guidance and proactively managing event logistics to deliver high-quality customer experience
  • Uphold GREF policies for appropriate use of space while assisting with permits, vendor COI requirements, building access coordination for external attendees and vendors.

Required Qualifications:

  • Bachelor's degree or equivalent 4+ years relevant experience in event coordination, event planning, facilities management or event administrative support
  • Strong project management and organizational capabilities with demonstrated ability to manage multiple stakeholders and competing priorities in fast-paced environment
  • Proven vendor management and coordination skills with experience with budget management and financial tracking
  • Knowledge of procurement policies, compliance requirements, and COI processes with experience working in matrixed or dotted-line reporting environments preferred
  • Advanced Microsoft Office proficiency including Word, Excel, Outlook required with exceptional written and verbal communication skills
  • Ability to interact with employees, visitors, contractors, and senior leadership with poise and professionalism
  • Positive, professional, service-focused personality and demeanor with ability to manage multiple concurrent events and deadlines across programs
  • High level of accuracy and attention-to-detail in all work products with comfort with ambiguity and ability to navigate dual reporting structures.

Preferred Qualifications:

  • Experience in corporate event management or high-profile event coordination with background in creating event planning documentation including production schedules, run-of-show, and budget templates
  • Understanding of corporate real estate and facilities management operations with Microsoft Visio or CAD experience
  • Familiarity with event management platforms with basic business math skills including discount, interest, percentage, and profit/loss calculations
  • Experience planning and executing large-scale events including team events, leadership offsites, customer engagements, and cultural celebrations
  • Background in developing and maintaining events calendar with ability to develop and maintain customized planning documentation for each event
  • Experience developing and executing day-of-event coverage checklists and contact lists to ensure all logistics, personnel, and vendor responsibilities are clearly assigned
  • Knowledge of leading vendor selection processes and coordinating all logistics including site access, set-up, and presentation.

Estimated compensation for this position:

79,000.00 - 114,700.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
