The Teaching and Learning Center at West Virginia University is currently accepting applications for an Events Coordinator. About the Opportunity The WVU Teaching and Learning Center is seeking an Events Coordinator who will be responsible for the coordination of workshops, seminars, signature programs, and academic conferences serving an audience of faculty, instructors, and teaching assistants. The WVU Teaching and Learning Center is located on the campus of West Virginia University in Morgantown, WV. What You'll Do
- Responsible for coordinating the Center's events in Morgantown, Beckley, and Keyser
- Coordinating the annual Scholarly Teaching Conference at West Virginia University.
- Coordinating our Signature Programs (Multi-day, long form programs with catering needs).
- Coordinating guest speakers, both in person and virtual, to include payment of Honorariums, Travel booking assistance, Travel reimbursements.
- Coordinating our standard 1 hour workshops, talks, and seminars on all WVU campuses.
- Coordinating the distribution of teaching award applications and materials.
- Answering questions from faculty about registrations, cancellations, wayfinding, parking, etc.
- Processing payments for the Center's events
- Follow established procedures for invoices and contracts; Payments made to state-issued or foundation-issued P-Cards; Processing event honorariums, event travel, and reimbursement for eligible travel expenses.
- Occasional processing of travel for the Center's Engaged Teaching Scholars travel to events.
- Interacting with Shared Services, Procurement, and WVU Foundation to process payments, secure vendor contracts, answer payment and reimbursement questions on behalf of faculty and external guests and assist the Center's faculty affiliates with how to process event travel and allowed/unallowed expenses.
- Technology Skills
- Utilize the Center's existing templates in Qualtrics for event registration, event sign-in, and letter from the Center to faculty participants for inclusion in their Digital Measures dossier.
- Utilize the Center's existing workflows in Qualtrics and Zoom, run reports on trends in event attendance, and assist in the creation of the Center's Annual Report.
- Utilize the Center's existing workflows and templates for corresponding with eNews, Cal.wvu.edu, and Engaged Teaching Scholars to promote and advertise the Center's events.
- Utilize the Center's existing workflows for pulling reports and documents from Digital Measures.
- Update event information on the Center's website using existing workflows and templates.
- Assist in the publication of the Center's monthly events newsletter.
- Communication
- Drafting and soliciting calls for conferences, service appointments, Faculty Learning Communities, and other large events.
- Developing a communications and event marking plan for the semester.
- Effective communication when interacting with Faculty Members, Academic Staff, and Administration.
- Stay on message and on brand, as established by the Center's Style and Communications Guide.
- Handle highly confidential information, whether that information is received directly or overheard in the Center, as it relates to faculty members, their teaching difficulties, and faculty member's interactions with their students.
