ABOUT THE POSITION

Senior Marketing Specialist | Hybrid | New York/New Jersey

Are you looking for a great opportunity to help drive the strategy and growth of an Architecture/Engineering/Construction (A/E/C) firm in the New York Metro Area? VHB is seeking a talented marketing professional to lead proposal and visibility efforts for our Northeast Region. As part of our Northeast marketing team, you will work with our technical staff to produce winning proposal documents and effective marketing communications materials in a fast-paced environment.

We are looking for a creative and energetic team member who has successfully managed complex, multi-disciplinary proposals through the entire life cycle - from RFP release through kick-off, strategy development, content creation, review cycles, production, and delivery. The ideal candidate is highly accountable, takes ownership of deadlines and deliverables, and can create and manage a clear project plan that keeps team members aligned and proposals on track. This person enjoys competing for projects in the government, transportation, real estate, institutional, and energy markets and is interested in helping raise VHB's prominence in the region.

Responsibilities

    Writing, editing, organizing, and proofreading various marketing collateral, including proposal content, project sheets, resumes, award submittals, brochures, articles, and presentations
  • Independently managing complex proposal efforts from initial opportunity evaluation and RFP review through strategy, content development, internal reviews, production, and final delivery
  • Facilitating proposal/presentation kick-off and strategy meetings, ensuring clear roles, responsibilities, and timelines
  • Preparing detailed proposal management plans, schedules, and outlines, and tracking progress against milestones
  • Ensuring compliance with client requirements outlined in requests for proposals (RFPs) and similar solicitations
  • Coordinating proposal activities of technical, marketing, graphics, and production staff across multiple offices and disciplines
  • Communicating proposal needs, expectations, and deadlines with colleagues and subconsultants, and proactively following up to ensure accountability
  • Overseeing proposal production and ensuring delivery to meet strict deadlines
  • Preparing presentation materials for client interviews
  • Developing and executing visibility initiatives (e-blasts, social media campaigns, VHB.com content, etc.)
  • Coordinating and occasionally attending conferences and industry events
  • Maintaining VHB brand standards across all marketing efforts
  • Driving Client Focus and Market Team activities in collaboration with senior marketing partners
  • Participating in marketing team meetings, workshops, and professional development activities

Skills & Abilities

  • Proven experience managing complex proposals through the full life cycle-from receipt of the RFP and development of a proposal plan to compliant, on-time submission and debrief
  • Demonstrated ability to independently lead proposal efforts, drive schedules, and hold self and team members accountable to milestones and deliverables
  • Able to develop compliance matrices and outlines from Request for Proposal (RFP) and similar documents
  • Strong project planning and project management skills, including creating timelines, tracking tasks, and coordinating inputs from multiple stakeholders
  • Strong writer, editor, and communicator
  • Excellent verbal, written, organizational, and interpersonal communication skills
  • Strong creative and strategic thinking skills
  • Detail oriented
  • Able to work well under deadline pressure
  • Able to handle multiple assignments concurrently
  • Comfortable working with colleagues in person and remotely

Qualifications

  • BA in English, Communications, Marketing, Journalism, or comparable field
  • 4-6 years of professional marketing experience in the A/E/C industry required
  • Experience preparing and managing proposals in the architecture/engineering/construction (A/E/C) industry required, including complex, multi-firm or multi-discipline pursuits
  • Proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook) required
  • Adobe platform and/or Microsoft Teams experience a plus

Our best estimate of the salary range for this position, located in New York City, is $90,000-115,000 and in New Jersey and Hauppauge, NY is $86,000-110,000. The final compensation will be based on a variety of factors such as individual qualifications, education, and experience.
