Position Summary

The HR Assistant provides essential administrative and operational support to the Human Resources function, with primary responsibility for the Wausau Fabrication location and additional support for Wausau Finishing and Stratford Fabrication. Support for additional locations is often coordinated in partnership with on-site teams, with periodic travel as needed to ensure alignment and effective execution.

This role plays a key part in ensuring day-to-day HR processes run smoothly while also supporting general office operations such as mail room, visitor, and office supply management.

The position serves as a first point of contact for employees, visitors, and leaders, helping create a positive and organized workplace experience. The HR Assistant supports core HR activities including onboarding, employee data updates, and routine employee inquiries, while also maintaining efficient office operations across supported locations.

This role is well-suited for an individual who is highly organized, service-oriented, and interested in building foundational experience in Human Resources and office administration.

Key Responsibilities

HR Support & Administration

  • Assist with onboarding, offboarding, job changes, and employee data updates in Workday and related systems.

  • Maintain accurate and organized employee records and documentation.

  • Support timekeeping and payroll-related processes by ensuring timely and accurate inputs.

  • Assist with compliance activities including I-9 processing, document retention, and audit preparation.

  • Prepare and maintain standard HR reports (headcount, turnover, attendance, training).

Employee & Frontline Support

  • Serve as a first point of contact for routine employee questions related to HR policies, time off, benefits, and processes.

  • Provide timely and accurate information or direct employees to appropriate resources.

  • Escalate sensitive, complex, issues to fellow HR colleagues and/or HR leadership as appropriate.

  • Support a positive employee experience through responsiveness and professionalism.

Recruiting & Onboarding Coordination

  • Assist with interview scheduling, booking candidate travel, and coordinating pre-employment activities such as background checks and drug tests.

  • Prepare onboarding materials and support new hire orientation logistics.

  • Ensure new hire documentation and system setup are complete prior to start dates.

Office Administration & Site Support

  • Support coordination and administration of employee engagement and community involvement activities, including community benefits programs and United Way campaigns, in partnership with site teams.

  • Manage front desk responsibilities, including greeting visitors and administering the Envoy visitor system.

  • Coordinate incoming and outgoing mail and deliveries.

  • Maintain office and breakroom supplies, including ordering, stocking, and vendor coordination.

  • Support general office organization, cleanliness, and functionality.

  • Assist with coordination of site communications, postings, and employee events.

  • Provide administrative support to site leadership, including meeting coordination, document preparation, and scheduling.

Site Coordination & Communication

  • Support logistics for meetings, training sessions, and employee activities.

  • Assist with communication postings, bulletin boards, and digital displays as applicable.

  • Help track and follow up on action items from leadership or employee meetings.

Learning & Development

  • Build knowledge of HR policies, systems, and site practices.

  • Participate in training and development opportunities to expand HR and administrative capabilities.

  • Seek feedback and continuously improve effectiveness and service delivery.

Requirements

Education

  • Associate's degree or coursework in Human Resources, Business Administration, or related field preferred.

Experience

  • 0-2 years of experience in HR, administrative, customer service, or office support roles.

Knowledge & Skills

  • Strong attention to detail and accuracy.

  • Professional and approachable communication skills.

  • Strong organizational and time management skills.

  • Ability to manage multiple priorities and tasks.

  • Comfort working with systems, data, and administrative processes.

  • Customer service mindset with a willingness to support both employees and leaders.

Work Environment & Physical Requirements

This role is primarily site-based in an office environment with regular interaction with manufacturing teams and leadership.

Work Involves

  • Sitting for extended periods and using standard office equipment.

  • Frequent interaction with employees, visitors, and leaders.

  • Occasional walking through production areas requiring appropriate PPE.
