Job Overview:
The Medical Affairs Coordinator assumes the responsibility of assisting the Director of Medical Administration in credentialing, privileging and medical administration activities in accordance with Federal, State and Local regulatory and/or accrediting agencies; provides and assures continuity of information between medical staff services/divisions and hospital departments to achieve an ideal customer sensitive service and communicates to the Director concerns relative to Medical Administration.
Qualifications:
Required:
- The candidate must possess, at a minimum, a Bachelors Degree or an equivalent combination of education and experience
- Minimum of two years administrative secretarial experience in a healthcare setting and/or one year credentialing experience in a hospital medical staff office
- Candidates must demonstrate extreme attention to detail and possess the ability to multitask in a high-pressure environment,
Licenses and Certifications Required:
- Currently holds, or willing to pursue, CPCS certification with the National Association of Medical Staff Services (NAMSS) within two years of employment,
Preferred:
- Meeting coordination and project experience desired
Essential Job Functions:
- Coordinates and provides administrative support to the Medical/Dental/Allied Health Professionals initial appointment/reappointment and privileging activities in accordance with the Medical Staff Bylaws and Rules & Regulations so as to assure the maintenance of qualified practitioners who provide patient care in the hospital
- Notifies applicants and Hospital personnel of action(s) taken per established Departmental policies/procedures and ensures up-to-date computer file integrity
- Closely monitors information collection; cognitive analysis of all information received, evaluates adequacy and quality and pursues additional information if necessary, for effective and comprehensive peer review decision-making
- Coordinates on-boarding of new providers and house staff through management of new provider orientation activities (badging, computer access, facility tours, etc.)
- Prepares and disseminates new provider communications to internal stakeholders following board approvals
- Assists central verification office expirables process through timely and efficient communications to providers with outstanding essential credentials (license, certification, insurance, etc.)
- Responsible for ensuring that appropriate Service/Division Delineation of Privilege forms are reviewed/revised in accordance with Departmental policy/procedure
- Responsible for ensuring appropriate Service Rules & Regulations maintain accordance with regulatory requirements and are reviewed/revised accordingly
- Responsible for entering and maintaining House Staff (Interns/Residents/Fellows) information/privileges in the credentialing software
- Notifies applicable departments/services of changes when they occur
- Responsible for entering and maintaining Authorized staff information in the credentialing software
- Notifies applicable departments/services of changes when they occur
- Collaborates with Quality and PI coordinators to ensure the Ongoing Professional Practice Evaluation (OPPE) process is completed timely and in accordance with Medical Staff Bylaws, policies and procedures
- Coordinates Focused Professional Practice Evaluation (FPPE) process with provider
- Maintains updated records on completion of FPPE process for new providers and updates systems accordingly
- Communicates with providers to collect outstanding documentation to bring FPPE plans to closure timely
- Responsible for the technical and administrative support of all functions of the Office of Medical Administration as required or assigned
- These functions include, but are not limited to, updating changes to physician profiles, answering incoming telephone calls, scanning/indexing of Credentialing documentation in electronic filing system, handling incoming and outgoing mail, monitoring Physician Dining Lounge for cleanliness and availability of supplies, responding to credentialing verification requests from external agents
- In conjunction with the Director, handles and/or is kept up to date on all confidential or sensitive issues concerning Medical Staff members and activities
- Employee is directly accountable to the President of the Medical Staff and the Vice President of Medical Affairs/Chief Medical Officer in the absence of the Director
