The Opportunity

The Front Desk Receptionist in the International Student and Scholar Services (ISSS) office serves as the first point of contact for international students, visiting scholars, and campus partners. This role is central to creating a welcoming, inclusive, and supportive environment while ensuring the smooth daily operation of the office.

The receptionist greets visitors, answers inquiries in person, by phone, and via email, and directs individuals to appropriate staff or resources. They provide general information about immigration processes, campus services, and office procedures, while maintaining awareness of when to refer more complex questions to advisors. Because the audience is often navigating unfamiliar systems, the receptionist must communicate clearly, patiently, and with cultural sensitivity.

Administrative responsibilities assisting the international advisors in maintaining records, handling incoming and outgoing documents, and supporting data entry in student information systems. This position also assists with beginning of semester check-ins and registrations in the SEVIS system as a Designated School Official (DSO).

Confidentiality and accuracy are essential, as the role involves handling sensitive personal and immigration-related information. Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment are critical. Proficiency with office software, customer service experience, and cross-cultural communication skills are highly valued.

Overall, the Front Desk Receptionist plays a key role in shaping the office's service experience, helping international students and scholars feel supported, informed, and connected from their very first interaction.

Primary Job Functions, Duties, or Accountabilities:

  • Answer the main office phone line, respond to inquiries, and direct calls to the appropriate staff or department.

  • Greet visitors entering the Center for International Education suite and provide clear, professional direction to the appropriate office or service area.

  • Coordinate with International Student Advisors to prepare Social Security Number (SSN) and Department of Motor Vehicles (DMV) support letters; notify students via email when documents are ready for pickup.

  • Be the main point of contact to send all documents to imaging.

  • Support DSO functions by maintaining accurate international student contact information (addresses and phone numbers), ensuring compliance with SEVIS reporting requirements, particularly during high-volume Fall and Spring terms.

  • Serve as an initial point of contact for newly admitted international students, providing pre-arrival guidance on immigration regulations and institutional processes in alignment with DSO advising responsibilities.

  • Assist with immigration record deferrals by guiding students through the Form I-20 deferral process and coordinating required communications, ensuring SEVIS records reflect accurate program start dates.

  • Support new international student check-in and registration in SEVIS, a core DSO responsibility, ensuring timely activation of student records and compliance with federal reporting timelines.

  • Collaborate with International Student Advisors/DSO's to maintain accurate and up-to-date student records in SEVIS, supporting institutional compliance with F-1 visa regulations.

  • Manage administrative actions on student accounts (e.g., adding and removing holds) in alignment with enrollment and immigration compliance requirements.

  • Process updates such as change of major requests and travel signatures within systems like VIA and SEVIS, ensuring all updates meet federal reporting standards and DSO authorization protocols.

  • Assist in weekly reconciliation of international student data by processing SIS files through VIA, supporting DSO's in maintaining data integrity between institutional systems and SEVIS.

  • Update student visa status in Campus Solutions upon receipt of appropriate documentation, ensuring institutional records remain consistent with SEVIS data and federal compliance requirements.

  • Be the main point of contact to send all documents to imaging.

  • Assist in other duties and projects as assigned.

Compensation

The hourly rate for this position is up to $16.62. The final offer will consider the candidate's skills, qualifications, and experience, along with applicable state regulations, internal equity, and business needs, and may fall outside of the stated range.

Qualifications

Required Qualifications:

  • High School (or GED) level ability in grammar, spelling, basic composition, and math.
  • Superior organizational skills.
  • Demonstrate interpersonal skills and ability to communicate effectively.
  • Demonstrate ability to work efficiently and with extreme attention to detail with minimal supervision in a fast paced environment.
  • Sensitivity to the unique needs and cultural differences of international students and schoalrs, and the ability to work in a cross-cultural environment.
  • Understanding of F1 and J1 visa types would be helpful.

Preferred Qualifications:

  • Associate degree is preferred.
  • Designated School Official (DSO)
