The Meeting Event Manager is the client liaison and project leader for assigned face-to-face or virtual programs with a strong focus on HCP attended meetings such as Advisory Boards, Investigator Meetings, and Ad Hoc HCP Contracting.

This individual manages overall coordination, planning, and execution of the program from an operational perspective. They are responsible for program planning and logistics while providing unparalleled levels of customer service and stakeholder management.

This person is also responsible for contract preparation, budget management, and back-end administrative processes.

What You'll Be Doing

  • Manage overall project timeline and deliverables, including client expectations, business objectives, and people impressions.

  • Manage and negotiate supplier relationships, audiovisual, hotel, and thirdparty contracts; monitor attrition dates and cancellation policies to ensure contracted services are executed.

  • Coordinate food and beverage, transportation, hotels, meetings, registration, air, and staffing; manage client liabilities throughout the project and onsite.

  • Understand and communicate established Health Care Professional (HCP) Meeting guidelines to stakeholders and HCPs; utilize all client systems to ensure accuracy and compliance.

  • Independently interface with daytoday client contacts to ensure business objectives and people impressions are executed.

  • Provide hightouch personalized service for HCPs, working with Guest Services to ensure compliant travel arrangements.

  • Create and maintain event specifications documentation; facilitate kickoff meetings, working sessions, and regular status meetings with clients and stakeholders.

  • Lead project teams, communicate program requirements, and provide onsite leadership to clients, suppliers, and facilities.

  • Monitor project expenses and budget; complete timely and accurate program reconciliation for HCP transferofvalue reporting.

  • Manage program and/or internal supplier revenue forecasting and updates to financial systems.

  • Manage and execute HCP contracts as needed.

What You'll Bring

  • Bachelor's degree or equivalent experience.

  • 5+ years of experience in pharmaceutical meeting/event planning (HCPattended meetings).

  • Strong knowledge of program/event design, management, and budget maintenance, with exposure to project planning and forecasting financial implications.

  • Successful experience providing personal and exceptional guest experiences and maintaining key client relationships.

  • Professional oral presentation and writing skills.

  • Experience effectively handling multiple projects and demands.

  • Excellent computer skills, including Microsoft Office and Cvent, with the ability to learn new technology quickly.

  • Ability to travel up to 30% of the time.

Nice to Have

  • PMP, CMP, CIS, CITP, HMCC, or DES certification.

Working Logistics & Things You Should Know

  • This role requires up to 30% travel.

  • Ability to sit onsite at the client's campus in East Hanover, NJ at least twice a week.

  • This position operates on EST time zone.

  • This is a hybrid role.

  • We are open to remote candidates located 50 miles or more from the office.

  • The total compensation range for this position is $72,000- $80,000, determined based on experience and qualifications. Compensation for internal candidates will be reviewed in accordance with our internal compensation practices.
