Please note: schedule will be 24 hours per week; on-site at our Parnassus campus. Three month duration; possibility of extension.

The Administrative Officer provides administrative and operational support to leadership. This role ensures efficient office management, coordinates communications, and handles confidential information with discretion. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Administrative Support to the Dean's Office

  • Schedule meetings, manage calendars for the Dean and Vice Dean, and coordinate appointments
  • Answer and direct phone calls, emails, and other communications
  • Support meeting logistics, including room setup and preparation of materials
  • Assist with coordination of Dean's Office events and activities
  • Handle sensitive and confidential information with discretion and integrity
  • Ensure compliance with UCSF policies, procedures, and guidelines
  • Order and maintain office supplies for the Dean's Office
  • Assist with expense reports, reimbursements, and basic purchasing processes
  • Participate in the development and revision of standard operating procedures and guidelines
  • Perform other duties as assigned
  • Bachelor's degree in a related field and at least 2 years of relevant work experience; or equivalent combination of education and experience/training
  • Ability to use sound judgment in responding to issues and concerns
  • Strong organizational skills and ability to manage multiple tasks with competing deadlines
  • Working knowledge of common organizational and computer application programs
  • Demonstrated ability to use discretion and maintain confidentiality
  • Strong communication and interpersonal skills, with the ability to effectively interact with all levels of staff both verbally and in writing
  • Experience with scheduling and calendar management
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

Salary Information


The final salary and offer components are subject to additional approvals based on UC policy.


Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
