Job Summary

Under the general direction of the Residency Education Manager, this position provides administrative support to the Residency Program for the Department of Pediatrics. This includes administrative support to and acting as a resource for the Residency program director, associate program directors, 43 residents and 2 Chief Residents. Finally, with leadership from the Residency Education Manager and Residency Director, this position ensures that goals and objectives of the Program are being met.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • High school diploma or equivalent experience.
  • Experience working in an executive-level office environment and/or providing administrative support.
  • Experience designing complex documents, spreadsheets and presentation materials, such as: tables, slides, charts, columnar formatting, graphics, macros, labels and merge documents.
  • Experience researching, extracting, compiling, and summarizing information from a variety of sources to prepare reports and information clearly and concisely.
  • Experience with financial transactions and reconciliations.
  • Experience managing calendars, schedules and coordinating meetings.
  • Ability to coordinate Continuing Medical Education courses. CloudCME
  • Computer skills and experience in Microsoft Suite, accounting, web-based evaluation and reporting systems: electronic mail, database management, graphics software, and other standard office desktop applications. Ability to learn the use of Electronic Residency Application System (ERAS), Thalamus, CloudCME (Continuing Medical Education system), Pedialink and MedHub.
  • Editing and writing skills to initiate, compose, word process, format, proofread and carefully edit various professional business documents, such as grants, general correspondence, and meeting minutes.
  • Excellent interpersonal, written, and oral communication skills to effectively and professionally communicate with a wide variety of groups/individuals.
  • Professional skills to handle sensitive or difficult situations diplomatically and to work effectively and sensitively with constituents from diverse cultural backgrounds and perspectives.
  • Investigative skills to elicit information needed to clarify inquiries and requests and follow through on details, providing necessary/required background documentation.
  • Strong organizational and time management skills to establish goals, ability to prioritize and coordinate multiple work assignments and deadlines efficiently despite frequent interruptions.
  • Writing skills to initiate, compose, word process, format, proofread and edit various professional business documents. such as grants and general correspondence.
  • Ability to analyze situations, define problems and/or objectives, identify relevant factors. formulate logical conclusions and suggest alternative solutions.
  • Skills to work independently and cooperatively as a team.
  • Ability to interpret policies and procedures.
  • Excellent interpersonal skills to communicate in a pleasant, tactful and effective manner (both orally and in writing), and to handle difficult, sensitive and/or confidential issues with diverse groups of individuals.

Preferred Qualifications

  • Experience in scheduling and coordinating large-scale conferences/meetings and special events.
  • Working knowledge of Aggie Travel, University financial policies and forms preparation.
  • Demonstrated skill to effectively and efficiently manage multiple, complex electronic calendars.
  • Knowledge of UCD/UCDH policies and procedures including but not limited to UCDH Medical Staff policies and procedures. ACGME policies and procedures and JCAHO requirements.

Work Environment
