Plan and manage assigned projects with the EX Director's review, guidance, and approval.
  • Meet with the EX Director to receive directions and clarification on each assigned project. All assignments will be administrative in nature, such as updating Standard Operating Procedures (SOPs), responding to Bureau- or Department-wide taskers, or coordinating conferences.
  • Draft project plans and establish systems for review, control, and reporting, subject to EX Director approval.
  • Gather data and conduct analysis to assess the impact of projects in collaboration with employees and managers in all affected areas.
  • Proactively meet with managers and other Bureau staff to define the overall goals and objectives of assigned projects.
  • Prepare recommendations for resource requirements and coordinate with stakeholders to secure the necessary resources and support.
  • Draft agency directives, memoranda, policy statements, SOPs, and other project-related documentation as needed.
  • Provide temporary administrative support to other Bureau offices during staffing shortages, at the discretion of the EX Director. Assigned duties will be administrative and fall within the scope of this Statement of Work (SOW).
  • Update Bureau staff contact lists and organizational spreadsheets/charts in coordination with the EX Staffing Team, and ensure stakeholders are informed through appropriate channels (e.g., SharePoint, email).
  • Assist Bureau staff with conference and meeting planning, including full coordination of logistics. Tasks may include creating attendee lists, arranging visitor access for meetings held within the Department by coordinating with Diplomatic Security (DS); and for offsite meetings, working with venue points of contact and Budget staff (if representation funds are required), and coordinating A/V support and all other necessary logistics with internal and external offices to ensure successful execution.
