Function
The Receptionist and Office Assistant (ROA)'s main responsibilities will include the provision of Receptionist duties including maintaining the reception desk in a manner that is welcoming to visitors while conveying the professional nature of the institution as an organization. Secondarily, the ROA may be called upon to assist with light clerical duties as needed and instructed.
Duties and Responsibilities
The ROA will:
- Operate the main telephone switchboard to answer, screen or forward calls, providing information, and/or taking messages.
- Greet vendors, visitors, and staff entering the establishment to determine the nature of the visit if necessary and direct or provide escort to specific destinations.
- Maintain the visitor Parking Log
- Receive payment and record receipts for parking space rental on behalf of the Property department.
- Keep seasonal, natural disaster, and public relations information current, available and distribute as erected.
- Assist the HR department, Divisional Commander's office, Women's Ministries, and Property department with seasonal and/or light clerical as needed and directed
- Maintain CDL/DOT records according to THQ RM guidelines and serve as the audit contact for the same.
- Process volunteer background checks for the Intermountain Division, which may include BC, MVR, NSOPW and CR.
- Maintain DHQ building meeting rooms for active use
- Other duties as assigned.
Education
* High School Diploma or equivalent is required
Experience
Work experience in a non-profit environment
Skills
- Ability to maintain a high level of confidentiality regarding business and personnel matters Proficiency with Microsoft Office Suite including Word, Excel, Power Point and Outlook
- Strong organizational skills; both verbal and written
- Detail Oriented
- Ability to work in a fast-paced environment with often competing deadlines while maintaining professional poise under pressure
- Ability to communicate and interact with varying personalities
- The ability to learn new tasks, processes, and software with minimal intervention
Driving
If the position requires driving:
- The employee must be 21 years old at minimum (for insurance provision) and possess a valid instate driver's license
- An MVR will be processed every year in accordance with The Salvation Army's policies
Background Check
- Continued employment will be contingent upon a biennial (every two years) background check that is processed in accordance with The Salvation Army's policies
Physical
Ability to maneuver, to remain in a stationary position, to grasp, push, pull, and reach overhead, to lift 25 pounds, to access and produce information from the computer, to operate telephone, to understand written information
