The Education Intake Specialist provides high level clerical, organizational, and communication support to the Special Education Department. This role ensures smooth daily operations, accurate documentation, and timely coordination of services that support students with disabilities, families, and staff. The position requires strong attention to detail, confidentiality, and the ability to manage multiple priorities in a fast paced environment

MAJOR RESPONSIBILITIES & DUTIES:

Manage Student Records

  • Request and maintain special education and student records
  • Review academic records, special education records and ensure compliance with deadlines
  • Serve as a liaison between schools for all MDT and IEP team members and service providers
  • Maintain accurate and current student record information in education data systems
  • Uses education data systems for recording keeping a documentation
  • Support the intake and referral process by collecting required forms, tracking timelines, and updating databases.
  • Prepare and process documents such as evaluation notices, meeting invitations, IEP paperwork, and service logs.
  • Organize department files, digital and physical, ensuring accuracy and accessibility.

Coordinates Scheduling

  • Create and maintain records and calendars for all special education meetings
  • Coordinate team members and attendance for all meetings
  • Communicate changes and updates with team members
  • Communicates with guardians, home school districts and team members any changes and updates with scheduled meetings
  • Support the intake and referral process by collecting documentation and tracking required timelines.

Support Special Education Communication

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong organizational skills and attention to details
  • Excellent communication skills with guardians, home districts, special education staff, and MDT/IEP team members
  • Computer skills in Microsoft Office.
  • Strong time management skills
  • Ability to communicate in an articulate, professional manner while maintaining necessary degree of confidentiality
  • Ability to be flexible and adjust schedules as needed
  • Ability to build relationships with school personnel, youth, and families.
  • Ability to adapt responses to situations while maintaining procedural and regulatory integrity.
  • Ability to work independently and collaboratively.

REQUIRED QUALIFICATIONS:

  • High school diploma or equivalent required.
  • Minimum age of 18 required.

PREFERRED QUALIFICATIONS:

  • Bachelor's degree or equivalent is preferred.
  • Previous experience, understanding and experience with learning disabled or behaviorally impaired learners preferred.
  • Previous experience in a classroom or school is preferred.

PHYSICAL REQUIREMENTS, EQUIPMENT USAGE, WORK ENVIRONMENT:
  • Extended periods of time in an office or classroom environment at a keyboard, workstation, or desk. Must have and maintain sufficient mental acuity and physical strength, agility, and endurance to perform all job requirements (including stressful situations - physically, mentally, and emotionally) encountered on the job without compromising the health and well-being of self, fellow employees, and youth or families.Work is typically in a normal educational school administrative environment involving but may sometimes be performed in a variety of environments ranging from highly stressful and potentially aggressive to casual and leisurely, in both indoor and outdoor settings. At times may include constant interruptions, inappropriate behaviors, and the potential for verbal and physical threats from youth.
