About the Job

Position Overview:

The Earl E. Bakken Medical Devices Center (BMDC) facilitates moving healthcare technology from idea to commercialization. Stakeholders from around the University including M Health Fairview clinicians, research faculty, research staff, graduate students, and undergraduate students come to BMDC for guidance and resources on solving healthcare needs. Some ideas are vague, some are well-formed, some are advanced, and some are in the early stages of development.

This position serves a dual role, providing primary administrative frontdesk support while also delivering MedWorx digital and physical modeling support. The front desk is the first point of contact for the BMDC, ensuring smooth daily operations by managing front desk communications, greeting and assisting visitors, coordinating conference room reservations, maintaining office, conference room, and lab spaces, and supporting staff, faculty, and programs with purchasing, travel reimbursements, scheduling, events, and other operational needs. The role requires close coordination with the BMDC staff, lab supervisors, and external partners to keep facilities, equipment, and displays functioning effectively, as well as to provide consistent oversight of supply inventory, cleanliness, and safety. In addition, the position supports MedWorx projects by assisting with the conversion of medical imaging data and device concepts into digital and physical models, preparing project quotes, building and reviewing models with clients, tracking time and billing information, and participating in weekly project meetings. Together, these responsibilities ensure both well-organized, professional frontofhouse experience and reliable technical support for MedWorx modeling initiatives.

This position is based on campus in-person. Per UMN policy, work may be done remotely when appropriate and approved by your manager. All UMN employees are expected to follow applicable public health and safety procedures.

Job Duties/Responsibilities:

65%: Administrative Front Desk Support

Daily Tasks:

  • Monitor, maintain and respond to bmdcfrontdesk@umn.edu emails.
  • Answer the (main) front desk phone line.
  • Purchasing contact for BMDC staff to place orders with UMarket, Amazon, etc. (Some financial training will be provided)
  • Maintain, stock and order the BMDC office, conference rooms & lab supplies.
  • Maintain the cleanliness and orderliness of the BMDC Conference rooms. Double check before and after meetings that the whiteboard, table, chairs, and floor is clean. Wipe down tables, sink, counters, walls and chairs as needed.
  • Checking that the BMDC displays are functioning, contact Gary Williams if it is not.
  • Greet and assist visitors/tours to the BMDC and make sure they sign-in via the iPad in the lobby as needed.
  • Assist lab supervisors with daily tasks for the BMDC and appropriate follow-up on time-sensitive tasks.
  • Make reservations for BMDC conference rooms.
  • Daily walk through of the EE lab and machine shop. Make any updates if needed or report any issues to lab supervisors.
  • Reserve UMN rooms outside of BMDC for events.
  • Order food for meetings
  • Communicate daily with supervisor, BMDC Chief of Staff
  • Weekly cleaning of the laser cutter and 3D printers.
  • Weekly inventory of supplies for conference rooms and labs. Order as needed.
  • Other Duties & Projects as assigned (i.e. errands for BMDC office)
  • Parking Validations

35%: MedWorx Digital Modeling support

  • Assist in converting medical imaging scans (e.g., CT, MRI) and medical device concepts into digital and physical models for client use in training and/or procedural planning
  • Obtain digital source files from clients or systems (e.g., CT, MRI, SolidWorks files from MedWorx BOX folders, PACS servers, G-Drive server or CD/DVD)
  • Convert imaging data into usable 3D volumes (e.g., .STL or OBJ files) using segmentation software (e.g., Materialize Mimics)
  • Enter project details into the quoting spreadsheet and forward quotes to clients
  • Review digital models with clients prior to printing or physical fabrication
  • Build and/or print approved digital models
  • Conduct final review of the completed physical model with the client
  • Record weekly project time in the BMDC Time Spreadsheet (before 8:00 a.m. on Mondays)
  • Enter final project details into the Billing Spreadsheet
  • Attend weekly MedWorx meetings to provide updates on active projects

Qualifications

All required qualifications must be included in the application materials

Required Qualifications:

  • Undergraduate degree (at time of position start)
  • Proficient with Microsoft Office and Google products
  • Segmentation (Materialize Mimics, 3D Slicer)
  • 3D-Printing software and hardware (Polyjet, SLS, FDM, Cura, GrabCAD, Preform)
  • CAD
  • Blender, Meshmixer, MeshLab
  • Unity
  • Must have excellent communication and grammar skills
  • A dedicated team player, capable of working on multiple projects simultaneously in a fast-paced, goal-oriented environment where proficiency in meeting attendance and income goals is essential.
  • Must be detail-oriented and organized, able to work on projects independently or in collaboration, while meeting tight deadlines. Proven track record of seeing projects through to completion.
  • Ability to learn new areas quickly, take ownership of issues/problems, and develop solutions.
  • HIPAA Training (can be performed after hire date

About the Department

The Bakken Medical Devices Center (BMDC), a unit of the Institute for Engineering in Medicine and part of the College of Science and Engineering and the Medical School, facilitates moving novel medical technologies from ideas to commercialization. BMDC research and development projects originate from clinical faculty with ideas for a new medical device, or from engineering faculty with a new technology, or both.

Pay and Benefits

Pay Range: $17 per hour; depending on education/qualifications/experience.

Time Appointment: 100% time, Available to work 40 hours a week from May 18-Sept 4, 2026
