The Opportunity

Embry-Riddle Aeronautical University is seeking a customer-focused and detail-oriented Records Specialist to join the Office of the Registrar on the Daytona Beach campus. Reporting to the Associate Registrar, this role plays a vital part in supporting student academic records operations and delivering exceptional service to students, faculty, staff, and external agencies. The ideal candidate will thrive in a fast-paced environment, demonstrate strong problem-solving skills, and maintain a high level of accuracy and confidentiality while supporting a wide range of registrar functions.

Key Responsibilities

  • Maintain and update student academic records within the student information system and related record platforms.

  • Process complex academic record requests including registration changes, graduation applications, transcript requests, enrollment verifications, grade changes, and program updates.

  • Provide exceptional customer service by assisting students, faculty, staff, and external agencies with academic record inquiries and registrar-related processes.

  • Respond to emails, escalations, and Teams inquiries regarding registration, transcripts, withdrawals, grades, and other student record matters.

  • Process flight grades, registrations, and FAA certificates/ratings within student academic records while coordinating with the Flight Department as needed.

  • Review and process official transcripts from other institutions for transfer credit evaluation in collaboration with Academic Evaluators.

  • Audit student records to identify discrepancies and support resolution efforts.

  • Assist with system testing, process analysis, and documentation related to the PeopleSoft Student Information System.

  • Maintain confidentiality of student records in compliance with FERPA regulations.

  • Archive, retrieve, and interpret student records using the university imaging system.

  • Support additional departmental operations and special projects as assigned.

Compensation

The hourly range for this role is $17.00 to $17.20 hourly. The final offer will be based on the candidate's skills, qualifications, and experience, as well as applicable state regulations, internal equity, and business needs, and may fall outside of the stated range.

Qualifications

Required Education and Qualifications:

  • High school diploma or equivalent required; associate or bachelor's degree preferred.

  • Experience in customer service, records management, higher education administration, or a related field.

  • Strong organizational skills with exceptional attention to detail and accuracy.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Proficiency with Microsoft Office and database or student information systems.

  • Ability to maintain confidentiality and handle sensitive information responsibly.

Preferred Qualifications

  • Experience working in a Registrar's Office or higher education environment.

  • Familiarity with PeopleSoft, Parchment, or similar student information systems.

  • Knowledge of FERPA regulations and academic records processes.

  • Experience supporting academic records, registration, transcripts, or transfer credit processing.
