Role Summary

The Senior Business Services Coordinator oversees comprehensive operational, administrative, hospitality, and mail services for a high-profile Life Sciences account. This role provides strategic leadership and operational oversight across facilities operations, finance, onboarding, access control, client experience, and site administration. The manager ensures seamless day-to-day operations, leads direct reports, drives service excellence, maintains compliance, and serves as a key liaison between client stakeholders and JLL leadership.

Facilities & Site Operations Leadership

  • Oversee day-to-day facilities operations including maintenance programs, capital projects, vendor management, and work order systems (CMMS/EAMS).

  • Lead access control protocols, visitor management programs, vehicle registration, and site security coordination.

  • Direct MAC moves, space planning initiatives, site events, and VIP/executive engagements.

  • Establish and monitor site inspection protocols to ensure workplace safety, cleanliness, and operational excellence.

Onboarding, Training & Personnel Management

  • Manage onboarding/offboarding programs for JLL staff, subcontractors, and vendors, ensuring ISNetworld/ISN compliance.

  • Oversee credential management, approval workflows, and background verification processes.

  • Direct site training programs and maintain accurate organizational documentation.

  • Supervise concierge and frontline support teams, providing coaching, performance management, and development.

Mail Services Management

  • Lead and develop the mail services team, including hiring, training, performance evaluation, and workload management.

  • Establish service standards and operational procedures for efficient, cost-effective handling of domestic and international mail, packages, and shipments.

  • Monitor service metrics, identify process improvements, and ensure timely, accurate delivery between internal users and external parties.

  • Oversee budget and resource allocation for mail operations.

Financial Management & Administrative Oversight

  • Manage P-card programs, purchase orders, emergency procurement, and marketplace transactions.

  • Oversee site budget planning, expense forecasting, variance analysis, and financial reporting.

  • Partner with JLL Finance on audits, cost-optimization initiatives, financial controls, and compliance.

  • Ensure accurate site documentation, record retention, and operational reporting standards.

Client Experience & Stakeholder Management

  • Serve as Hospitality and Experience Leader for Kalamazoo and broader NAM sites.

  • Manage hotline operations, ensuring effective intake, triage, prioritization, and resolution of service requests.

  • Build and maintain strategic relationships with client Single Points of Contact (SPOCs), senior leadership, and cross-functional stakeholders.

  • Provide direct support to senior site leadership and proactively identify service gaps.

Compliance, Strategic Improvement & Leadership

  • Ensure contractor, vendor, and operational compliance with JLL standards, safety regulations, and audit requirements.

  • Drive continuous improvement initiatives, analyze performance data, and implement best practices.

  • Lead special projects, site assessments, dignitary visits, and executive-level engagements.

  • Provide strategic recommendations to senior management on operational efficiency and service delivery.

Required qualifications

  • 5+ yearsof progressive experience in facilities management, operations, or corporate services, with2+ years in a supervisory or management role

  • Proven leadership skills with experience managing direct reports, contractors, and vendor relationships

  • Strong strategic thinking, problem-solving, and decision-making capabilities

  • Excellent communication, stakeholder management, and client relations skills

  • Demonstrated ability to manage budgets, drive performance metrics, and lead process improvement initiatives

  • Bachelor's degree or equivalent combination of education and experience

Preferred qualifications

  • Proficiency in Microsoft Office; experience with CMMS, financial management systems, and analytics tools
