Job Summary:The Manager of Document Management oversees the end-to-end lifecycle of patient documentation within the Electronic Medical Record (EMR) system. This role ensures timely, accurate, and compliant processing of high-volume medical documents, including faxes, scanned files, and electronic exchanges. The manager leads a team of document associates and collaborates with clinical, quality, and IT teams to optimize workflows, reduce errors, and improve operational efficiency.

Essential Functions of the Position

Supervise daily operations of document management associates across multiple offices

Oversee document intake, classification, and routing processes using systems such as Epic, OnBase, and Biscom

Develop and implement best practices for document naming, splitting, and routing to appropriate care teams

Monitor productivity metrics (e.g., volume processed, turnaround time) and generate performance reports

Collaborate with IS and Quality departments to resolve workflow inefficiencies and improve audit trails

Lead training and onboarding for new staff and provide ongoing education on system updates and compliance standards

Participate in cross-functional meetings to align document workflows with clinical and operational goals

Promotes effective working relationships with nursing personnel, the management team and health care providers

Attends required meetings

Seeks guidance and resources, when necessary, in care and treatment of patients

Complies with federal and local confidentiality laws, including HIPAA, ensuring patient privacy

Adheres to Brown Health Medical Group Primary Care guidelines and policies for protecting patients' demographic, clinical and financial information

Performs other job-related duties as assigned

Education and Experience

High School Diploma required; Associate's or Bachelor's degree preferred

Minimum 3 years of experience in healthcare document management or health information systems.

Prior supervisory or team lead experience strongly preferred

Proficiency in EMR systems (Epic), document management platforms (OnBase), and Microsoft Office Suite

Knowledge, Skills, and Ability

Capacity to collaborate with colleagues and teammates as necessary to ensure quality work

Ability to work both on a team and independently, with the capability to self-direct

Ability to use technology with proficiency in electronic medical record (EMR) platforms and Microsoft Office applications such as: Outlook, Excel, and Word

Ability to function well in a high-paced and at times stressful environment

Capacity to multi-task, think critically and problem solve

Clear assessment, creativity, judgment, and decision-making skills

Ability to take initiative, organize, prioritize, and follow through with work assignments assuring fulfillment of plans and goals

Excellent communication skills - both verbal and written

Ability to maintain quality, safety, and/or infection control standards

Ability to perform standard clinical procedures according to established protocols

Ability to maintain professionalism and provide superior customer service to all

Physical Requirements

This role is primarily hybrid

Prolonged periods of sitting at a desk or standing while using a computer

Work and move among all departments of Brown Health Medical Group

Excellent hand/eye coordination

Lift up to 15 pounds

Manual dexterity to operate a personal computer or laptop as well as standard office machines and equipment as it pertains to one's position

State-wide travel and operation of motor vehicle may be required for offsite meetings and trainings

Must have a valid driver's license and clear driving record

Use of personal vehicle and proof of auto insurance is necessary

Pay Range:

$64,480.00-$106,412.80
