As Blackjack Paving's primary scheduler, you are responsible for coordinating an action plan, including properly processing work tickets, for project execution. You will work closely with our sales and operations teams to prepare action plans and timeframes for projects. You will relay administrative paperwork to the client, sales representatives, and accounting. You will also perform various coordinating tasks, like schedule and risk management, along with administrative duties like maintaining project documentation and handling inquiries. Excellent time management and communication skills are required as you will collaborate with clients and internal teams to deliver results on deadlines. Essential Duties and Responsibilities:
- Understand project specifications and documents, including client contracts, to accurately process work ticket into scheduling timely - including change orders
- Work timely to ensure all newly awarded projects are processed accurately and clients are communicated with quickly
- Constantly update current jobs spreadsheet
- Capture revenue correctly daily
- Break all projects into doable actions and set timeframes
- Ensure operational teams are set up for success - provide solutions to problems as they arise
- Complete trip and fuel permits, public and private locates, hotel accommodations as necessary
- Help prepare budgets, suggest cost-cutting solutions, analyze and suggest risk-reward opportunities
- Produce end-of-job report to ensure timely billing
- Coordinate and lead weekly operational scheduling meetings to effectively coordinate incoming workflow. Ensure accurate current jobs list via spreadsheet
- Use tools to monitor working hours, plans, and expenditures. Use tools to adjust project sitemaps as necessary.
- Act as point of contact and communicate project status to all participants
- Work with Operations Managers to eliminate workflow blockers
- Schedule subcontractors, work closely with subcontractors to develop a great working relationship, communicate scope effectively, issue approval for price per information provided by sales representative
- Ensure warranty jobs, go-backs, and rescheduling is handled timely and communicated effectively
- Liaise with clients to identify scheduling dates and define requirements, constraints, objectives, and expectations

- Make sure clients are effectively communicated with about dates, procedures, changes, as needs arise as projects evolve, updates, and questions timely. Includes providing letters and notification documents at their request.

Qualifications/Requirements
- Ability to work in an office setting for much of the time. Occasional requirements to work in variety of weather conditions including heat, cold, wind, rain, and dusty environments.
- Must be willing to travel and work away from home when required.
- Be willing to work nights and weekends when necessary.
- Excellent housekeeping of office and facility required.
- Must have strong work ethic.
- Ability to work well in both a team setting and independently.
- Communication skills, ability to communicate with supervisors, co-workers, contractors, and the public in a courteous, professional manner always.
- Ensure a safe work environment in compliance with all safety policies and procedures.
- Knowledge of road construction methods, road construction materials, and industry requirements.
- Must comply with the company's drug and alcohol testing requirements.
- Valid driver's license required.
