Job Description

Position Overview:
The Program/Project Coordinator I provides administrative and programmatic support for academic and faculty affairs within the department. This position is responsible for coordinating processes that ensure the timely progression of graduate students, supporting faculty evaluation and promotion activities, maintaining faculty workload data, and assisting with departmental planning and compliance. The coordinator works collaboratively with faculty, leadership, and administrative staff to ensure the accurate management of academic records, reporting, and departmental processes.

Key Responsibilities:
* Coordinate and monitor academic milestones for approximately 35 PhD students, ensuring timely completion of program requirements and compliance with university policies and deadlines.
* Prepare, organize, and submit Promotion & Tenure dossiers while ensuring documentation is complete, accurate, and submitted according to established institutional timelines and procedures.
* Coordinate the annual faculty evaluation process by collecting, organizing, and maintaining required evaluation materials and supporting documentation.
* Compile, maintain, and verify faculty teaching assignment data to support departmental reporting and workload planning.
* Assist the Department Chair by preparing reports and maintaining faculty workload information, including teaching assignments and grant activity, to support equitable workload distribution in accordance with Provost-approved policies.
* Maintain accurate departmental databases, records, and tracking systems to ensure data integrity and facilitate reporting.
* Coordinate departmental timelines, communicate deadlines, and follow up with faculty, students, and staff to ensure completion of required activities.
* Identify opportunities to improve workflows, administrative processes, and resource utilization, making recommendations that enhance efficiency while following established procedures.
* Develop and maintain effective working relationships with faculty, students, departmental leadership, and campus partners to support departmental goals.
* Perform routine administrative and project coordination activities using established procedures and guidelines.
* Provide support for special projects, reports, and departmental initiatives as assigned.
* Perform other duties as assigned.

Shift

Monday - Friday, 8:00 a.m. - 5:00 p.m.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and 1 year of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

The successful candidate will demonstrate strong organizational skills, exceptional attention to detail, effective written and verbal communication skills, and the ability to manage multiple priorities while meeting deadlines. The ideal candidate will possess proficiency with Microsoft Office applications, maintain confidentiality, work independently within established procedures, and collaborate effectively with faculty, students, and administrative staff.

Anticipated Hiring Range

Salary Range: $19.25 - $27.88 hourly
Grade: GGS - 008
