The Development Communications Coordinator assists in the planning and execution of print and electronic communications, e.g. newsletters, calendar of events, press kits, etc. The Development Communications Coordinator provides broad-based communications and administrative support to advance the goals of the designated work area.
This position supports development and communications initiatives within External Affairs at the Sheridan Libraries & University Museums by coordinating and producing donor-focused communications and assisting with the execution of fundraising, stewardship, and engagement activities. Specific Duties & Responsibilities:
- Perform administrative/clerical duties in support of communications efforts, e.g., maintain databases, lists and records.
- Manage website content and updates which may involve some graphic design or desktop publishing.
- Coordinate mailings and calendar of events.
- Produce multimedia files, presentations, audio/video recordings, photographs.
- Draft, write, edit, and proofread communications pieces, e.g., articles for publications, newsletters, press releases, and general announcements typically of simple, general, or routine nature.
- Work with a combination of internal and external communication materials.
- Support data gathering and/or draft communications in relation to routine inquiries from the media.
- Conduct research and fact finding to assist in developing content for communication pieces.
- Coordinate logistics for internal and/or external special events or functions, e.g., open houses, exhibits, campus tours, orientations, dinners, conferences and may staff those functions.
- Monitor, facilitate and coordinate production and distribution of communication pieces, including production schedule, layout, interface with vendors, writers, freelance writers and photographers.
- Process invoices and monitor expenses.
- Other duties as assigned.
In addition to the duties described above, the Development Communications Coordinator will:
- Prepare and produce donor-facing communications materials"such as stewardship reports, acknowledgment letters, proposals, and event collateral"based on input from development staff and subject matter experts.
- Coordinate communications for development-related events and engagement activities, including invitations, scripts, advisory materials, and follow-up correspondence.
- Assist with the execution of annual fund and donor outreach communications across digital and print channels, including email marketing campaigns.
- Compile, format, and maintain mailing lists, RSVP tracking, and communications timelines to support fundraising and engagement efforts.
- Collaborate across External Affairs to gather information and draft content, and support multiple concurrent communications projects by tracking deadlines, coordinating review processes, and incorporating feedback to ensure timely and accurate delivery.
Minimum Qualifications
- High school diploma or graduation equivalent.
- Three years of related experience.
- Additional education may substitute for required experience and additional related experience may substitute for required education permitted by the JHU equivalency formula beyond a high school diploma/graduation equivalent
Preferred Qualifications
- Bachelor's degree
- Prior experience in a marketing/communications setting
- Experience with CRM and marketing platforms (e.g., Salesforce, Marketing Cloud, Constant Contact) and project/collaboration tools (e.g., Jira, Confluence, SharePoint, Teams); basic familiarity with design tools (e.g., Adobe Creative Suite, Canva)
- Proficiency in all Microsoft Office applications
- Experience working in a higher education, nonprofit, or cultural institution environment
- Strong attention to detail and accuracy in writing, proofreading, and managing communications materials
- Proactive organizational skills with the ability to track deadlines, manage multiple tasks, and follow through on assignments
