Position Summary

The Administrative Associate III provides administrative and operational support to the division. This role manages calendars, schedules meetings, prepares reports and correspondence, maintains divisional records, and helps keep day-to-day office operations running smoothly. The position requires strong organization, attention to detail, and the ability to prioritize multiple tasks while supporting physicians, leaders, and staff.

Key Responsibilities

  • Provide administrative support to physicians, managers, and division leadership.

  • Manage calendars, schedule meetings, and coordinate conference rooms and travel arrangements.

  • Prepare reports, spreadsheets, presentations, and other business documents.

  • Answer phones, respond to emails, greet visitors, and direct inquiries appropriately.

  • Maintain division files, databases, and office records.

  • Monitor office supplies and equipment, place orders, and resolve billing or supply issues.

  • Process and track administrative forms and paperwork.

  • Coordinate division meetings, conferences, and special events.

  • Assist with special projects and process improvements.

  • Help train and support other administrative staff as needed.

Minimum Qualifications

Education:

  • High School Diploma or GED required.

Experience:

  • At least 1 year of related administrative experience required.

  • Previous healthcare or hospital administrative experience is preferred.

  • Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint).

  • Excellent organizational, communication, and customer service skills.

  • Ability to multitask, prioritize work independently, and maintain confidentiality in a fast-paced environment.

Schedule:

  • Full-time, Monday-Friday (Day shift). Hybrid after 90-day training period.

The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.

Any base pay offer provided depends on skills, experience, education, certifications, and a variety of other job-related factors.
