The Collections Specialist is responsible for collecting outstanding receivables across an assigned portfolio of customer accounts. This role contacts customers to secure timely payment, resolves billing discrepancies, and maintains accurate account records while supporting positive customer relationships. As a non-exempt individual contributor, the Collections Specialist applies established collections procedures to minimize past-due balances and reduce credit risk.

Responsibilities of Position:



  • Manage an assigned portfolio of accounts, monitoring aging and outstanding balances to drive timely collection
  • Contact customers via phone, email, and written correspondence to follow up on past-due invoices
  • Research and resolve billing discrepancies, disputes, short pays, and deductions, coordinating with internal teams as needed
  • Establish payment arrangements within established guidelines and escalate delinquent or high-risk accounts to management
  • Apply payments accurately and reconcile assigned accounts to keep records current and complete
  • Document all collection activity, customer communications, and account status
  • Support month-end close activities, including aging reviews and reporting on assigned accounts
  • Ensure compliance with company credit and collections policies, internal controls, and applicable regulations
  • Perform other duties as assigned



Supervisory Responsibility:



  • This position will not manage employees



Skills & Abilities Needed for Position:



  • High degree of integrity and ability to maintain confidentiality and trust around sensitive data
  • Strong written, verbal communication, and negotiation skills
  • Strong organizational and time management skills
  • Problem solving skills, interpersonal skills, and ability to develop working relationships with peers and business leaders within the company
  • Ability to adhere to credit policy under customer pressure and recognize when a matter should be escalated
  • Familiarity with billing and ERP systems and basic accounts receivable concepts



Experience & Knowledge Needed for Position:



  • 1 year of previous collections or customer service experience preferred
  • Commercial collection experience a plus
  • Basic knowledge of Microsoft Office applications, including Excel
  • Knowledge of applicable federal and state collection laws, including TCPA



Physical Requirements in a Regular workday:



  • Rarely lifting/carrying/pushing/pulling a max of 10 lbs
  • Continuously working inside
  • Rarely stooping/kneeling/crouching/crawling
  • Rarely climbing and/or balancing
  • Continuously sitting; rarely standing/walking



Additional Working Conditions/Aspects:



  • Ability to work overtime, weekends, and/or holidays
  • Legally eligible to work in the United States
  • Valid driver's license (if applicable)
  • Must successfully complete pre-employment testing
  • Must be able to read and speak the English language
