About the Department
The mission of the CALS College Advancement is to enhance, promote and support the academic programs, research and extension efforts of the College of Agriculture and Life Sciences ( CALS). Within CALS Advancement is the NC Agricultural Foundation, Inc., a non-profit, 501c3 organization formed as a means of supporting agricultural research, extension and teaching activities in CALS. The CALS Advancement team works in close partnership with the central University Advancement Office and its partner colleges.

The mission of University Development within the Division of University Advancement at NC State is to raise philanthropic support for university goals and priorities that benefit our students, faculty, this campus, and ultimately, the state of North Carolina. Essential Job Duties
Help strengthen lifelong connections between the College of Agriculture and Life Sciences ( CALS) and its alumni, donors, and partners. As the Alumni & Engagement Assistant, you will provide essential administrative and operational support for alumni engagement initiatives, events, and advancement activities that foster meaningful relationships and advance the college's mission. You will serve as an integral member of the CALS Advancement team, balancing exceptional attention to detail with initiative to improve processes and deliver outstanding service.
Key Responsibilities

Administrative & Operational Support


  • Provide comprehensive administrative support for alumni engagement and advancement activities, including managing calendars, scheduling meetings and appointments, preparing correspondence, overseeing projects, and coordinating daily office operations.
  • Support departmental efficiency by identifying opportunities to improve administrative processes while maintaining accuracy, confidentiality, and professionalism.



Event & Board Coordination


  • Coordinate board meetings, alumni events, and engagement activities by managing logistics, preparing materials, scheduling participants, and ensuring successful event execution.
  • Arrange travel and related logistics for staff and guests in support of advancement and engagement initiatives.


Project Coordination & Communications


  • Develop and maintain project schedules, timelines, reports, and other administrative resources to monitor progress and support departmental priorities.
  • Collaborate with Advancement team members to provide responsive, high-quality service while supporting multiple projects and deadlines.

Other Responsibilities

  • Other duties as assigned by supervisor or unit.
  • An expectation of this position is to also travel on campus and in the local area to complete time-sensitive tasks.

Qualifications




Minimum Experience/Education
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Preferred Qualifications

  • Background in alumni engagement, advancement, development, fundraising, donor relations, or related programs within a university, nonprofit, or similarly complex organization.
  • Knowledge of advancement and development principles, donor stewardship, or alumni relations best practices.
  • Demonstrated ability to coordinate meetings, events, travel, or projects involving multiple stakeholders and competing priorities.
  • Proficiency with donor or constituent relationship management (CRM) systems
  • Demonstrated success preparing professional correspondence, reports, presentations, or other communications while managing multiple deadlines with exceptional attention to detail.

  • Valid NC driver's license or the ability to obtain within 60 days of start.
