Job Description:
The Facilities Management Associate provides administrative, operational, and coordination support to the Facilities Senior Manager and Facilities Department. This position serves as a central resource for department organization, communication, scheduling, documentation, reporting, and coordination of facilities activities. The role helps ensure efficient daily operations by supporting work planning, contractor coordination, department projects, compliance documentation, purchasing activities, and workforce communication. The Facilities Management Associate partners with facilities leadership and technical teams to support department objectives, improve processes, maintain accurate records, and facilitate effective execution of facilities-related initiatives across the site.
Department Operations Support
- Provide day-to-day administrative support to the Facilities team
- Assist with planning, coordination, and tracking of department priorities, projects, and action items.
- Prepare agendas, meeting materials, and meeting summaries for departmental meetings.
- Coordinate departmental communications and distribute information to facilities personnel.
- Maintain department calendars, schedules, and recurring activities.
Documentation & Compliance Support
- Support the maintenance department records, procedures, training documentation, and operational files.
- Assist in the preparation and organization of audit, regulatory, and compliance documentation.
- Track completion of required training, certifications, and departmental administrative requirements.
- Support document control activities and ensure records remain organized and current.
Workforce & Resource Coordination
- Assist with onboarding activities for new Facilities team members.
- Coordinate scheduling, meeting logistics, and communication for department initiatives.
- Facilitate communication between facilities leadership, contractors, vendors, and internal departments.
- Support vendor onboarding and contractor documentation processes.
Continuous Improvement
- Identify opportunities to improve administrative processes and department efficiency.
- Recommend and implement tools, templates, and organizational systems.
- Promote effective communication and collaboration across teams.
- Assist with cross-functional initiatives impacting facilities operations.
- Assist leadership with budget tracking, reporting, and administrative financial activities.
Qualifications:
Required:
- Bachelor's degree required; or High School Diploma/GED (or equivalent) with 4 years of directly related experience in lieu of a bachelor's degree.
- 0-3 years of professional experience in administration, operations support, facilities coordination, project coordination, construction, manufacturing or related environment.
- Experience supporting leaders, projects or operational teams preferred.
- Experience in a manufacturing, pharmaceutical, industrial or construction environment preferred.
- Working Knowledge in Administrative Coordination.
- Working Knowledge in Project Tracking & Reporting.
- Working Knowledge in Documentation Management.
- Working Knowledge in Scheduling & Meeting Coordination.
- Working Knowledge in Purchasing & Budget Support.
- Working Knowledge in Vendor/Contractor Coordination.
- Working Knowledge in Data Analysis & Reporting.
- Working Knowledge in Microsoft Office Proficiency.
- Working Knowledge in Process Improvement.
- Working Knowledge in Facilities Operations Support.
Preferred:
- Experience supporting facilities, engineering, operations, construction, or maintenance organizations.
- Exposure to project management principles.
- Experience with purchasing, budgeting, or contractor coordination.
- Knowledge of CMMS systems, work order management, or maintenance operations.
Location: Spokane, WA - On Site, Full-Time
Shift: Monday-Friday 8am-5pm
