JOB SUMMARY

The Operations Coordinator provides tactical planning and support for the Workforce Center. This position ensures a high quality training environment for all clients, and assists with managing relationships with outside clients and vendors, including large employers, training vendors, academic partners and test vendors.

PRIMARY JOB RESPONSIBILITIES

  • Evaluates and improves Workforce Center operations to support revenue goals and growth initiatives; makes adjustments as needed to enhance performance
  • Manages supply vendors and supports access to technology resources
  • Works closely with external clients, vendors, students, training partners, instructors, and the sales team
  • Provides administrative and operational support for training delivery, including preparation of materials and coordination of logistical details to ensure courses are set up for success; works in close collaboration with leadership and the training partner to align course operations with strategic goals and program standards; supports communication with instructors and vendors as needed, ensuring timely execution of training activities
  • Leads the operational implementation of student services and acts as a point of contact for external clients across communication platforms; provides direct support to students throughout their learning experience-from initial inquiry and registration to accessing virtual classes, completing course evaluations, and receiving certificates of completion and digital badges
  • Continuously updates operational procedures to enhance the student and client experience
  • Generates and maintains operational reports related to course enrollments, revenue tracking, and cost monitoring; manages purchasing card (P-Card) reconciliation, prepares client invoices, and oversees collections to ensure timely and accurate financial processing
  • Performs other duties as assigned

KNOWLEDGE, SKILLS, AND ABILITIES

  • Proficient in Microsoft Office Suite, Google Docs, Salesforce and Adobe Acrobat
  • Strong interpersonal skills
  • Strong verbal and written communication skills
  • Excellent customer service orientation and client engagement abilities
  • Strong problem solving skills
  • Exceptional attention to detail with strong organizational and time management skills
  • Positive team player with the ability to take direction and complete tasks efficiently
  • Ability to quickly learn new software platforms, including online registration and evaluation systems

MINIMUM QUALIFICATIONS

  • High School Diploma or the equivalent
  • Three or more years of relevant professional experience

PREFERRED QUALIFICATIONS

  • Bachelor's degree
