Primary Function of Organizational Unit
The purpose of the University Registrar is responsible for maintaining the integrity of all student academic records, admissions, and registration information. Inherent in that function is the responsibility of disseminating information from those records as needed but within compliance guidelines established both by law (such as the Buckley Amendment, FERPA - Family Educational Rights and Privacy Act) and by University policy.
Primary Purpose of Position
The primary purpose of this position is to provide comprehensive administrative and records support for student academic records and related processes, ensuring compliance with University policies and procedures, as well as applicable state and federal regulations, with particular emphasis on the Family Educational Rights and Privacy Act ( FERPA). The position communicates and interprets policies, procedures, and regulatory requirements for faculty, staff, students, and other constituents; processes and maintains sensitive student records; and ensures the accuracy, completeness, security, retention, and appropriate disposition of academic records and documentation.
The position is responsible for the evaluation and processing of verification and degree-related records, including archiving, imaging, retrieval, and maintenance of supporting documentation. The position updates the Banner Student System using appropriate and approved documentation and maintains ongoing communication and coordination with the National Student Clearinghouse regarding student enrollment and academic record matters. The position also supports and communicates University policies and procedures related to student withdrawals, ensuring timely, accurate, and consistent processing of withdrawal-related information and inquiries.
In addition, the position prepares official transcripts, correspondence, memoranda, reports, and other documents; reviews information for accuracy and completeness; and recommends procedural updates as systems, processes, and job requirements evolve. The position utilizes Banner, Student Information System ( SIS Plus), Microsoft Office Suite, HighView and Banner XtenderSolutions Imaging Software, databases, scanners, and other specialized equipment to support efficient records processing and customer service. The position applies established policies, procedures, laws, and regulations in reviewing and processing records and seeks appropriate assistance when complex academic record searches, retrievals, or interpretations are required.
Required Knowledge, Skills, and Abilities

  • Demonstrates knowledge of office organization and the ability to communicate effectively, both verbally and in writing, with faculty, staff, students, and other customers.
  • Demonstrates proficiency in applying a variety of features and functions within Microsoft Office Suite, HighView, Banner XtenderSolutions Software, the Imaging References Database, Banner System, and Student Information System (SIS Plus).
  • Operates and utilizes specialized equipment, including scanners, fax machines, copiers, and network printers, to support document processing, imaging, and records management.
  • Applies problem-solving skills to resolve routine records-processing and administrative issues and determine appropriate courses of action.
  • Demonstrates in-depth knowledge of the processing, archiving, imaging, retrieval, and management of student documents and academic records, with particular attention to the sensitive and confidential nature of student information.
  • Ensures student records are handled, maintained, and processed in accordance with established procedures, policies, and applicable requirements governing the confidentiality and security of academic records.

Minimum Education/Experience
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
