The Role

Join our team as a Senior Executive Assistant, where you will play a pivotal role in providing comprehensive administrative, planning, and executive support of a highly complex and confidential nature for a system executive. Your expertise will be instrumental in meeting specialized goals and contributing to our organization's vision, mission, and strategic objectives. You will support a significant leadership position, managing calendars, correspondence, meeting and agenda preparation, and other logistical matters. In this dynamic role, you will network extensively with the organization's leaders and health system stakeholders, representing the executive and the health system positively and professionally.

What You'll Do



  • Strategic Planning & Execution: Independently or collaboratively develop plans to carry out assigned projects and activities, aligning with the executive's leadership style and organizational objectives. Manage travel arrangements and oversee calendar scheduling.
  • Meeting Management: Facilitate and support executive meetings, ensuring the collection and preparation of agendas, dissemination of materials, and coordination of meeting records and follow-up reports.
  • Office Coordination: Oversee the Office of the Executive, ensuring a logical flow for scheduling and preparation, including meetings, travel, and outside commitments.
  • Communication Excellence: Coordinate writing, editing, and communications tasks, from initiating correspondence to recording minutes and preparing reports, exercising independent judgment.
  • Networking & Relationship Building: Foster positive communications and relations with internal and external stakeholders, maintaining professional interactions that support the executive's objectives.
  • Collaboration & Integration: Collaborate with various offices to assist in organizational integration efforts, fulfilling strategic objectives and best practices.


What You'll Bring



  • Educational Background: Bachelor's Degree in English, Liberal Arts, or a related field, alongside coursework or training from a technical program in secretarial or office support services or equivalent education and experience.
  • Experience: A minimum of 5 years serving as an administrative assistant for an executive, with seasoned knowledge of service support roles and responsibilities.

  • Technical Proficiency: Working knowledge of desktop software applications, including MS Outlook, Word, Excel, Access, and Internet Email.
  • Confidentiality & Judgment: Ability to maintain confidentiality, exercise sound judgment, and make decisions based on accurate analysis.
