The role:
We are looking for a Project Manager (PM) to work on Meeting Planning and Execution across Heme and Solid Tumor, including:
- External Expert (EE) Engagement initiatives/Meetings.
- Select internal meetings at a disease level where Global Commercial Leads (GCLs) do not have asset-level project management (PM) support.
- The goal is to ensure excellent physician engagement experiences for external experts and internal stakeholders through well-organized planning and execution.
- It is important to ensure that interactions with company are positive and seamless. The PM will provide dedicated project management support for EE initiatives, including advisory boards and HCP consultations (small groups and 1:1s).
- The ideal candidate will be collaborative and enjoy working in a high-energy, cross functional environment. Key attributes would include the ability to manage complexity (i.e., problem-solver), wear many hats (manage diverse stakeholders), and be a connector and inclusive people person overall.
- A technical mindset and an analytical approach to problem-solving will be highly valued, enabling the PM to utilize data and technical tools for enhanced project outcomes.
In this role, responsibilities will include:
- External Expert Consulting plan: Develop an EE consulting plan across stakeholder groups, utilizing analytical insights to drive strategic engagement. Submit consulting plans in the iHub system and get approval. Submit revisions to consulting plans in iHub as needed.
- External Expert database: Maintain and update EE engagement databases based on stakeholder inputs. Over time, help advise EE participation based on tracking data, including previous time to execute contracts, exception requests from certain institutions, etc.
- Meeting Content Development: Support stakeholder efforts to develop RFPs and select appropriate vendors for content development. Submit vendor Purchase Order (PO) requests on behalf of the stakeholder after the Statement of Work (SOW) is finalized/approved. Manage internal and external content development processes through frequent updates and tracking meetings with vendors. Ensure stakeholder reviews of internal/vendor-developed content.
- Event logistics: Submit event requests through company's internal system. Request proposals from logistics vendors. Contract with logistics vendors and meet weekly/biweekly to discuss all relevant aspects of the meeting (e.g., Webex, meal, AV, facility). Provide logistics support (final room layout, AV, attendance management, documentation, etc.) as needed.
- H1 approval: Manage H1 submissions of meeting materials, including slides, pre-reads, surveys, invitations, etc. Identify H1 approvers (typically 6-10 for global advisory boards) before submission. Submit documents to the H1 system. Communicate with H1 approvers. Communicate with content owners regarding revisions and facilitate alignment processes. Submit the final documents to H1 before the event.
- EE Consultant contracts: Submit requests and monitor the status of contracts for each EE who has confirmed participation with a GCL. Ensure responsive communication with the External Expert, keeping the GCL informed. Address HQ/affiliate questions regarding the contract for any EE. Meet with the Central Consultancy Group (CCG) weekly to ensure progress. Conduct ad hoc meetings with account management, compliance, events logistics, etc., to address contracting issues.
- Activity closing and payments: Submit all main room and green room attendees to the Smartsheet for approval. Submit all documentation for meeting closing by CCG. Address payment inquiries/issues with CCG regularly.
