This position is primarily responsible for customer service, ticket sales and assisting the part-time patron services staff. Responsibilities include fielding and responding to all patron service related inquiries and concerns, processing of all ticket orders, lobby and telephone reception duties, and placement and presentation of current marketing and promotional materials in the entry and lobby areas. Additional responsibilities include daily sales revenue reconciliation and settlement, generation of performance reports, maintenance of patron data base, administrative support for the Box Office Manager and Volunteer Coordinator, and coordination with the marketing team for timely distribution and availability of promotional materials.

Essential Duties and Responsibilities

Patron services
- Process Ticket orders in person at the box office, via telephone, email, and the Internet
- Respond to all patron inquiries and concerns related to ticketing and box office information
- Process all incoming telephone calls, and greet visitors, determining and directing them to the proper staff member (take messages as necessary)
- Update and maintain patron master file database
- Update "coming events" internal phone message weekly
Box Office Administration
- Organize and maintain project files
- Daily reconciliation of sales revenue, preparation and delivery of deposit
- Daily facility opening and closing procedures
- Inventory and replenish supplies from stock
- Generation of performance sales reports and box office report
- Compile and communicate all pertinent performance data to House Manager
Assist Marketing Team
- Create monthly calendar listing of events for marketing team use
- Organize and compile components of target marketing mass mailings
- Organize and schedule volunteers for poster and flyer distributions
- Design the use of lobby space for marketing and advertising purposes, including creation of lobby promotional presentations, and timely rotation and change out of shadowbox posters and street-side A-frame promotional materials

REQUIRED EDUCATION AND/OR EXPERIENCE:
- High school diploma or equivalent
- Excellent customer service skills, minimum of two (2) years customer service
- Minimum of two (2) years cash handling/accounts receivable experience

Excellent organizational and communication (verbal, written and interpersonal) skills
Strong mathematical skills -
Knowledge and familiarity with computers including Microsoft Office Suite -Word, Excel and Access -

Ability to work in a fast paced environment -
Ability to quickly adapt to change
OTHER SKILLS AND ABILITIES:
- Experience in and knowledge of theater
- The incumbent in this position must be able to work varying hours as needed to accommodate production schedule which will include evenings and weekends
- Work experience in box office ticketing
- Familiarity with ProVenue or other ticketing software
- Experience with data base management

While performing the duties of this job, the incumbent is required to communicate using the English language and to distinguish audible communication. The incumbent is occasionally required to move about the office setting and to position self within the office to access file cabinets and computer equipment. The incumbent is regularly required to use hands and fingers to process sales revenues received within the box office The incumbent must regularly lift and/or move up to 20 pounds, and occasionally lift and/or move up to 50 pounds. The incumbent must be able to maintain productive work level for long periods of time. The incumbent in this position must be able to work varying hours as needed to accommodate production schedule which will include evenings and weekends
