Requisition ID req31009 Working Title Admin Assistant 3 Position Grade 08 Position Summary GME (Graduate Medical Education) is seeking an Administrative Assistant III who will provide upper level administrative support to the Designated Institutional Official (DIO) and the office of GME. This position will serve as the central point of contact and will assist with resolution of day-to-day matters concerning the unit, will work on various administrative projects, including but not limited to drafting, compiling, and editing correspondence, presentations and reports, maintaining calendars, and coordinating travel arrangements as it relates to GME. While this is our ideal list, we will consider candidates that do not necessarily have all of the qualifications, but have sufficient experience and talent. Duties and Responsibilities include: -Perform and/or oversee a variety of associated administrative, fiscal, staff support, and planning activities. -Maintain appropriate stock of office supplies, oversee appropriate operation of the office equipment including printers, copiers and fax machine. -Specialize in record keeping and database management, and/or specified information-gathering projects and tasks. -Coordinate and facilitate meetings, program functions, and/or special events, as appropriate. -Will be responsible for travel, purchasing of supplies and equipment, use of a P-Card, reconciling P-Card logs and understanding of the financial rules and regulations related to P-Card use and travel procedures. -Maintain the Sr. Associate and Assistant Deans and Sr. Operations Manager's calendars, including scheduling, coordinating and facilitating meetings, reserving meeting rooms. -Establish resident and work files for the office. -May transcribe meeting minutes as necessary, assists with agenda preparation, compilation of records and distribution of agendas and minutes as required. Minimum Qualifications High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
