About the Job

The Pre-Award Grant Coordinator supports the development of funding for faculty sponsored research projects and programmatic initiatives in the School of Nursing. ONRS prides itself on providing a collaborative approach to reliable, through and comprehensive grant assistance to nursing faculty and student investigators. The Pre-Award Grant Coordinator reports to the SoN Grants Manager and allows for hybrid work.

Key Responsibilities:

Grant Proposal Preparation and Award Management (75%)

  • Coordinate and lead grant proposal preparation, assembly, and submission process from proposal development through point of award.
  • For each proposal submission, responsibilities include: review sponsor's request for proposals; prepare timelines for submission; prepare budget and administrative portions of the proposal; obtain subaward documentation; finalize all parts of the proposal; prepare and route applications in the University's internal Minnesota Grants Electronic Management System (MN-GEMS); liaise with departmental and collegiate administration and Sponsored Projects Administration (SPA) throughout the submission process; and communicate with the sponsor as needed.
  • Understand and communicate sponsor and University requirements and/or restrictions regarding PI/staff eligibility, cost sharing, F&A sharing, budget limitations, and other sponsor requirements. Identify solutions to sponsor restrictions and ensure final proposal is compliant with relevant policies and guidance.
  • Develop budgets for sponsored projects in collaboration with the PI(s), unit administrative staff, and accounting personnel.
  • Manage application forms for proposals and awards, using sponsor systems such as ASSIST, Grants.gov, Workspace, proposal Central, etc.
  • Manage the non-financial aspects of award setup and management, including submission of Just in Time information and interim and final progress reports.

Compliance and Administration (15%)

  • Keep accounting personnel informed about issues relevant to proposals and awards. Work closely with accounting personnel to ensure an efficient transition from pre-award to post-award phase.
  • Ensure compliance with University research policies and procedures in all tasks.
  • Maintain electronic files on proposal and award activity.
  • Participate in other grants administrative duties as assigned, which may include monitoring and triaging a centralized team email inbox, processing intake forms, maintaining a calendar grant of activity, assist with SoN travel awards, assist with processing research incentives notification, process poster requests, and assist with SoN Research Day event.

Development and Planning (10%)

  • Participate in SoN weekly meetings regarding current issues, policy updates, workload, processes.
  • Promote proposal readiness among faculty, particularly junior faculty.
  • Provide input on templates/job aids and additional guidance for new and experienced PIs to make processes more efficient and documents more thorough and accurate.
  • Continue professional development by attending relevant courses, workshops, seminars/webinars, professional society meetings and other training opportunities, both internal and external to the University of Minnesota.
Qualifications

Required Qualifications:

  • Bachelor's degree and four years of professional experience or a combination of related education and work experience to equal eight years.
  • Experience performing administrative, budgetary, or grant-related duties.
  • Experience in technology and software as related to the needs of the position (e.g., Word, Excel, Adobe, Google suite, etc.).
    Ability to simultaneously work on multiple projects with fixed deadlines and ability to re-prioritize tasks as needed to successfully meet all deadlines.

Preferred Qualifications:

  • Experience working with sponsored projects, especially with federal sponsors.
  • Experience working in higher education.
  • Administrative, financial, or other experience with clinical research.
  • Experience with electronic proposal submission systems such as Grants.gov, ProposalCentral and other grants management systems, sponsor grant databases (e.g., NIH RePORTER) and funding opportunity databases (e.g., Pivot).
  • Excellent team member skills and the ability to effectively interface with all levels of the organization (students, staff, faculty, central administration).
  • Ability to work independently with a high level of initiative, accountability, and follow-through on complex and sensitive issues
    Effective problem identification and problem solving skills.
