Job Summary

Cultivates and maintains relationships with its Board of Advisors, industry partners, and stakeholders. This role serves as the primary liaison between the school and its external constituents, fostering strategic partnerships, and advancing the school's mission and goals.

  • Oversees, leads and organizes all activities and objectives for all boards at the Chaplin School of Hospitality and Tourism Management (CSHTM) and ensure effective and efficient management of day-to-day activities, including all aspects of board meetings and involvement, and serving as the point of contact for all board members.
  • Maintains strict confidentiality for all sensitive information using independent judgment, insight, considerable discretion, and diplomacy when handling delicate or escalated matters. Keeps colleagues and leadership informed at all times.
  • Serves as the primary liaison for board members on a myriad of issues. Provides timely and appropriate responses to questions and concerns, including referral to other organizational leaders with related context and follow-up. Handles a wide variety of activities and confidential matters with good judgment, discretion, and provides high level leadership support.
  • Ensures timely collection of annual board dues and active pledge commitments/donations in the form of checks, stocks, and other negotiable securities. Prepares necessary documents to process expenses relating to board events and gifts.
  • Provides oversight for seamless implementation of all board meetings, sub committee meetings, events, initiatives, etc. throughout the year including creating and disseminating agendas, presentations, directories, minutes, etc. Leads board member orientation and ongoing board development activities. Works with board chairs to support the training of new board members including orientation to board duties, culture and CSHTM information. Manages the development, scheduling and implementation of new and ongoing board-related programs or services.
  • Maintains strong working knowledge of governance best practices, issues affecting related industries and make recommendations for incorporation of best practices.
  • Drafts correspondence to board members as well as review communications from the Dean to ensure clear and consistent messaging. Ensures all parties are communicated with clearly regarding all pre- and post-meeting details and action items as well as relevant college and university news. Provides minutes and notes to board members and staff for all meetings. Tracks and communicates information for all board meetings (attendance, schedule, etc.)
  • Supports and oversees board member and visitor tours, lunches, meetings, and follow-up in collaboration with the dean and development team.
  • Works in partnership with the Office of Advancement to ensure policies and procedures are followed while managing the operations of the boards.
  • Administers process for maintaining and archiving all files. Utilize NXT to ensure that correspondence with board members is timely, appropriate, and internally documented. Conducts any necessary research and prepare reports as needed. Initiate and follow through on requests for information and other time sensitive matters.
  • Handles check transactions as needed.
Minimum Qualifications

Bachelor's degree in business or related field and four (4) years related business or administrative experience, or Master's degree in business or related field and two (2) years related business or administrative experience.

Desired Qualifications

Experience supervising a team and/or project.
