Summary of Position: Oversee the daily operations of the college's Cashier's Office to include cashiering, organizational (third party) billing, student billing, collections, refunds (student and organizational), payment plans, tuition and fees and annual software updates. Work in conjunction with Business Services Office to ensure reconciliation of student financial activities to the general ledger. Troubleshoot student financial issues and resolve complex customer service issues.

This is a hybrid eligible position that would allow for 1-2 days a week working from home after the training period.

Essential Functions

2. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.
3. Student Success is the cornerstone of Western's culture and the college may assign employees as needed to other areas or additional duties to foster this success.
4. Management and Oversight of the Cashier's Office - Supporting Action/Task May Include:

  • Provide leadership to Cashier's Office staff and oversee daily operations of the Cashier's Office.
  • Work in conjunction with student services offices to resolve student related issues, maintain consistency and improve services to students.
  • Work collaboratively with Registrar, Business Services office, and collection agencies
  • Meet with students to resolve tuition payment issues.
  • Provide student financial related information to auditors for annual audit.
  • Maintain relationship with banks to resolve student financial issues related to student refunds, deposits and file transmissions.
  • Work in conjunction with the Financial Aid Manager to ensure compliance with all federal and state regulations regarding the disbursement of financial aid.
5. Student Information System Student Financials Functional Expert - Supporting Action/Task May Include:
  • Work closely with IT Staff to test and install upgrades, patches, and fixes to the student information system.
  • Maintain and update code tables in the student financials portion of the student information system.
  • Oversee Touchnet cashiering system setup, security and training. Resolve any issues related to the Touchnet system.
  • Oversee processing of annual 1098T's (tuition payment statements) Collaborate with the client reporting team to interpret and implement changes to client reporting requirements, resolve client reporting errors related to the student financials area and ensure deadlines are met with an error free file.

Qualifications

Minimum Qualifications:
  • Bachelor's Degree in related field with 3 yrs. occupational experience OR
  • Education in related field combined with related occupational experience totaling 7 yrs. OR
  • Related Occupational experience totaling 7 yrs.
Preferred Qualifications:
  • 5 years' experience
  • Higher Education experience

Special Instructions/About Western

This position reports to: Director of Finance

Starting annual salary range based on education and experience: $61,350 - $80,247

This position would include competitive salary, along with a wide variety of benefits available to full-time Western Technical College Employees.
